Cookies & Policies

Everything about how we use cookies and our platform policies.

01 - Public Policies

Edvento’s Public Policies explain the rules, responsibilities, privacy practices, content standards, and data-handling principles that apply when using Edvento and its related services.

These policies apply, where relevant, to Teachers, Adult Learners, Students, educational institutions, and other users of the platform. Each policy focuses on a specific area, including account use, privacy, cookies, acceptable conduct, intellectual property, user-generated content, account deletion, and data retention.

The policies should be read together where appropriate. Edvento may update them as the platform and its functionality develop. The version number and last-updated date shown in each document identify the current published version.

Terms of Use

Document: Terms of Use

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

These Terms govern access to Edvento / EdventoNet at edvento.net and the services identified in the applicable account or order. Edvento provides educational activity creation, assessment and class management tools.

General enquiries may be sent to [email protected]. Where a request requires specialist handling, Edvento may direct it internally to the appropriate responsible person or function.

1 Eligibility and account roles

A Teacher is an adult aged 18 or older who creates educational content, activities or classes or manages learning through Edvento.

An Adult Learner is a person aged 18 or older who creates and controls their own Learner account and may independently access permitted Edvento learning functionality.

A Student / Minor is a person under 18 who cannot independently create an Edvento account. A Student profile must instead be created and managed by a Teacher or, where applicable, an Institution.

An Institution is a school, tutoring centre, training centre or other educational organization responsible for authorized educational use of Edvento.

Teacher-created Student profiles are more restricted than Adult Learner accounts. Student profiles do not have the same independent discovery or account-management functionality available to Adult Learners.

Student profiles must not contain unnecessary personal information or personal profile photographs.

Students cannot independently scan a QR code and join a class. New class assignments may be controlled by an authorized school administrator or valid homeroom Teacher.

When a Student reaches the age of 18, the Student profile is deleted rather than automatically converted into an Adult Learner account. The individual may then create a new independent Adult Learner account.

Edvento is intended for international use and does not maintain a general product-level list of blocked countries.

The 18-year self-registration rule is an Edvento product rule and does not mean that every privacy or education law uses 18 as its consent or authorization age.

A Teacher must not bypass an Institution's prohibition on Student accounts or other restrictions imposed by the Institution.

2 Accounts and security

Users must provide accurate information appropriate to their account role, keep recovery information current and not impersonate another person.

Users must protect their passwords, account credentials, Student credentials, class access details and other access mechanisms.

Suspected account compromise, unauthorized access or security concerns should be reported to [email protected].

Edvento may internally direct a security report to the appropriate technical or administrative personnel.

Edvento will assess suspected unauthorized activity based on the available evidence. An account holder is not automatically treated as responsible for every action following an account or security failure.

Adult accounts must not be shared with Students.

Teachers responsible for Student profiles must distribute Student credentials privately and take reasonable steps to ensure that the correct Student receives the credentials intended for them.

Class access codes and QR codes are invitation mechanisms. Possession of a class code or QR code does not by itself establish approved class membership.

Where the class workflow requires approval, a Learner's request to join a class must be approved by the Teacher before class membership is granted.

Edvento may revoke, replace or restrict compromised access mechanisms and may temporarily restrict access while investigating suspected misuse or security issues.

3 Educational use and assessments

Teachers remain responsible for deciding whether educational materials, activities and assessments are suitable for their Students or Learners.

Teachers are responsible for reviewing the accuracy and appropriateness of materials they create, upload, import or generate before using those materials for educational purposes.

Edvento supports manual question entry, CSV-based question import and AI-assisted activity creation.

AI-assisted creation is intended to accelerate content preparation and does not remove the Teacher's responsibility to review and revise generated content before use.

Edvento uses AI for question generation and does not use AI to evaluate Student work under the currently documented activity-creation model.

Teachers using Edvento's AI-supported question-generation functionality provide learning objectives for question generation rather than Student personal data.

Edvento does not guarantee grades, examination outcomes, certification outcomes or completely error-free automated scoring.

Edvento's activities use automatic scoring except for the Projects activity, which uses manual scoring.

Assessment security and integrity tools are intended to support Teachers but cannot guarantee the prevention of cheating, copying, screenshots or other unauthorized behaviour.

Edvento may technically restrict text selection and screenshot functionality during applicable activities in order to support assessment integrity and help protect Teacher-created content.

For supported Assessment activities, Edvento may provide optional head-orientation and presence monitoring.

Where this functionality is available:

  • the Teacher may enable or disable it;
  • the Student may refuse to use the optional monitoring functionality;
  • processing takes place locally on the user's device;
  • Edvento does not send the head-tracking data to an external server for processing; and
  • the functionality operates through the supported EdventoPlay mobile application.

Teachers may also apply restrictions relating to the number of browser tabs that a Student can open or close during supported assessments.

4 Acceptable conduct

Users must use Edvento lawfully and comply with applicable Edvento policies.

Users must not:

  • harass, exploit, threaten or contact Students inappropriately;
  • disclose another person's private or confidential information without authorization;
  • upload malware, malicious code or intentionally unsafe files;
  • attempt to access another user's class, account, assessment or records without authorization;
  • sell, trade, share or misuse credentials;
  • intentionally disrupt assessments, classes or platform functionality; or
  • submit infringing, illegal or deliberately harmful content.

Authorized security testing requires prior agreement on scope and conditions.

5 Content and intellectual property

Users retain their rights in activities, uploads and submissions that they lawfully create or provide.

Edvento receives a non-exclusive licence only to the extent necessary to store, reproduce, process, technically adapt and display that content in order to provide the functionality and audiences selected by the user.

Student submissions are not automatically public and are not licensed under these Terms for advertising or AI training.

Selecting public visibility for an activity permits Edvento to display that activity publicly together with the public author information associated with it.

Public visibility does not automatically give another person permission to commercially resell, modify, republish or redistribute the activity.

Edvento retains its rights in its software, interfaces, platform design, branding, logos and other proprietary materials, subject to applicable third-party licences.

6 Fees and service availability

Paid features, where offered, are governed by the applicable purchasing, subscription, cancellation and refund terms provided for those services.

Free registration does not itself authorize a charge.

Features may be temporarily unavailable because of maintenance, security action, upgrades, technical failures or circumstances outside Edvento's reasonable control.

7 Moderation and suspension

Edvento may investigate credible reports of suspicious, harmful, unlawful or materially non-compliant behaviour.

Where proportionate, Edvento may restrict content, suspend functionality, restrict access or suspend an account in order to protect users, preserve platform integrity or investigate a material breach.

Users may report suspicious behaviour or request review of an action through [email protected].

Urgent protective action may be taken before notice where immediate action is reasonably necessary.

Suspension or restriction of an account does not automatically remove applicable privacy or consumer rights.

Edvento may ban a user profile following reports of suspicious actions or behaviour.

Where an official request from a competent legal authority is received concerning suspected criminal activity associated with a banned account, Edvento may provide relevant information in accordance with applicable legal requirements.

8 Ending use and deleting information

Adult users may use the available account controls to freeze or delete their profiles.

Where an Adult account is frozen, Edvento hides the account's past and current platform activity so the account cannot be actively used while retaining the associated account data in case the user later chooses to return.

Where an Adult user chooses permanent deletion, the user's profile and related activity data are removed from Edvento's database. A permanently deleted profile cannot be recovered.

Student profiles are different from Adult Learner accounts.

A Teacher is responsible for Student profiles created by that Teacher and may delete those Student profiles through the supported Student-management process.

A Teacher cannot delete an independent Adult Learner account merely because the Learner participates in the Teacher's class.

Deleted activities are placed in an activity recycle bin for 30 days.

During this period, the Teacher may restore the activity or permanently delete it earlier.

If an activity is restored, it returns together with its related Student activity statistics records.

After 30 days, an activity remaining in the recycle bin is automatically deleted.

The 30-day activity recycle-bin period applies specifically to deleted activities and is not a general retention period for all Edvento information.

Edvento does not automatically delete inactive user profiles.

9 Responsibility and remedies

Each party remains responsible for its own conduct and applicable legal obligations.

Edvento does not transfer its own privacy, security or consumer-protection obligations to Teachers, Learners or Institutions.

Teachers remain responsible for their educational choices, the materials they select or create, and their appropriate use of Edvento's tools.

Teachers are responsible for reviewing AI-generated educational content before using it with Students or Learners.

Edvento does not guarantee that all user-created or AI-assisted content is correct, that every interruption can be prevented or that assessment-security tools can detect or prevent every form of misconduct.

Nothing in these Terms is intended to exclude rights or remedies that cannot lawfully be excluded.

10 Changes

Edvento may update these Terms as its services, product functionality or policies change.

Changes to Edvento functionality may also require related policies and documentation to be updated.

The current version of Edvento policies should be used when accessing or using the relevant Edvento services.

Privacy Notice

Document: Privacy Notice

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This Privacy Notice explains how information is used when people use Edvento / EdventoNet accounts, educational activities, classes, assessments and related services.

Privacy questions and other requests may be sent to [email protected]. Where specialist handling is required, Edvento may direct the request internally to the appropriate responsible person or function.

1 Data minimization

Edvento determines its data requirements as a team.

When a technical or educational feature requires information, the team considers why the information is needed and whether the same functionality can operate with less personal information.

Edvento aims to minimize personal-data collection without preventing the intended functionality of the service.

Where information is not required permanently, Edvento may provide users with controls to change or delete it.

Student profiles created for people under 18 are intentionally more restricted than Adult Learner accounts.

2 Information used by Edvento

Information used through Edvento may come directly from users, from Teachers who create Student profiles, from participation in educational activities and classes, and from use of Edvento functionality.

Adult Learners

Adult Learners aged 18 or older control their own Learner accounts.

Adult Learners may add additional information to their profiles. Additional profile information is not always required and may be changed or deleted by the user through the available profile controls.

Students

A Student is a person under 18 whose profile is created and managed through the authorized Teacher or school workflow.

Student profiles are designed to use minimal personal information.

Student profiles are not permitted to use personal profile photographs.

Student profiles have more limited functionality and visibility than Adult Learner accounts.

Classes and learning activity

Edvento may process information connected with:

  • class membership;
  • activities assigned to a class;
  • activity participation;
  • answers and responses;
  • assessment results;
  • activity completion;
  • experience points;
  • badges; and
  • activity statistics.

The information created depends on the type of Edvento activity being used.

3 Activity records and learning data

Edvento uses different data-handling models for different categories of activities.

Dynamic activities

Dynamic activities are live activities in which the Teacher and participating Students are online at the same time.

Students may participate in supported Dynamic activities without registration.

Participation information from a live Dynamic activity is temporary.

When the Teacher starts a new live game, the previous live participation data is deleted.

If the Teacher does not start another game, the participation data is automatically deleted after 24 hours.

The corresponding game QR code and access code form part of this temporary session data and expire with it.

Dynamic activities do not create permanent Student achievement records or experience points.

Individual activities

Individual activities require registered users.

Teachers may assign Individual activities as classwork or homework.

Individual activities can contribute to a Learner's experience points and activity-related badges.

Results from Individual activities are not recorded in the class gradebook.

Assessment activities

Assessment activities are designed for diagnostic and summative assessment.

Assessment results are recorded in the relevant gradebook.

Assessment activities do not contribute to Student profile experience points.

Experience points and badges

Edvento uses experience points as part of the Learner profile system to support performance tracking and Student motivation.

Experience points are generated through Individual activities.

Edvento may also record which activity types a Learner has used and award badges based on participation in new activity types.

4 Projects and uploaded materials

The Projects activity allows users to upload materials required for project work.

Uploaded project materials are available for the educational purpose of the project.

Teachers may delete uploaded project materials after evaluating the project.

Edvento limits the permitted file types for project uploads as part of its file-safety controls.

5 Visibility and access

Edvento limits the visibility of Student and Learner profiles.

Student profiles are visible to their Teachers and authorized school administrators.

Students are not intended to be discoverable by unrelated Teachers or other ordinary users.

Adult Learner profiles are also hidden from general discovery.

A Teacher may access a Learner in connection with a class where the Learner has joined that Teacher's class.

A Teacher cannot independently search for or access an unrelated Learner profile merely by obtaining a profile link.

When a Learner independently finds and completes an activity from the Edvento Library, the activity owner does not receive the Learner's name in the activity report unless the Learner and Teacher are members of the same class relationship that permits such visibility.

Students under 18 cannot independently scan a class QR code and join another class.

Where the applicable school workflow is used, new class assignments for Students are controlled by authorized school administrators or authorized Teachers.

6 Communications and notifications

Edvento provides platform notifications to users.

Users can manage which available notifications they want to receive through the supported notification settings.

Edvento does not provide ordinary direct-message inbox functionality between users.

Teachers may send email-address requests to other Teachers.

Student profiles do not have this functionality.

Users who voluntarily share their email addresses may communicate outside Edvento using their own email services.

The Edvento administration panel does not provide functionality for sending bulk promotional email campaigns to Students.

Where Edvento needs to provide information directly to Student users through the platform, it may use in-product notices such as welcome pop-ups.

7 AI-assisted activity creation

Edvento uses AI to assist Teachers with creating educational questions and activities.

AI is one of several activity-creation methods available to Teachers.

Teachers may:

  • enter questions manually;
  • import questions using supported CSV files; or
  • generate questions from learning objectives using Edvento's AI-assisted activity-creation functionality.

Teachers retain control over the generated content and may review, revise or replace generated questions before using them.

Edvento uses AI for question generation rather than for evaluating Student work.

For the documented question-generation workflow, Teachers provide learning objectives.

Edvento does not send Student personal data to AI for the purpose of generating questions.

Teachers remain responsible for reviewing AI-generated educational content before using it with their Students or Learners.

8 Assessment monitoring

Supported Assessment activities may include optional local head-orientation monitoring designed to help Teachers monitor whether a Student remains present behind the device during an assessment.

The Teacher may enable or disable this functionality.

A Student may refuse to use the optional monitoring functionality.

The head-orientation process operates locally on the user's device.

Edvento does not send the head-tracking information to an external server for processing.

This functionality is available through the supported EdventoPlay mobile application.

Teachers may also use supported assessment controls relating to the number of browser tabs that a Student opens or closes during an assessment.

Edvento may restrict text selection and screenshot functionality during supported activities as part of its assessment-integrity and content-protection controls.

9 Calendar integration

Teachers may add timetable information from Edvento to their calendar service.

The calendar function covers a period of up to two weeks at a time.

A Teacher may repeat the process when a further period is needed.

The timetable information sent through this function consists of:

  • weekdays;
  • teaching-period times; and
  • class titles.

10 Account information and deletion

Adult users may manage their own profiles through the available Edvento controls.

Adult users may choose to freeze or delete their profiles.

Frozen profiles

When a profile is frozen, Edvento hides the user's past and current platform activity and prevents normal use of the profile.

The associated data is retained so that the user may return to the profile later.

Deleted profiles

When an Adult user chooses permanent account deletion, Edvento deletes the data relating to the user and the user's activity from its database.

A permanently deleted profile cannot be recovered through the normal Edvento account-recovery process.

Edvento does not automatically delete Adult profiles merely because they have been inactive.

11 Student profile deletion

Student profiles are managed differently from independent Adult Learner accounts.

A Teacher is responsible for Student profiles created by that Teacher through the supported Student-profile workflow.

Teachers may delete Student profiles that they are authorized to manage.

A Teacher cannot delete an independent Adult Learner account.

When a Student reaches the age of 18, the Student profile is deleted rather than converted automatically into an Adult Learner account.

If the person wants to continue using Edvento independently after reaching 18, they may create a new Adult Learner account.

12 Deleted activities

When a Teacher deletes an activity, the activity is placed in the Edvento recycle bin.

The activity remains in the recycle bin for 30 days unless the Teacher permanently deletes it earlier.

During the 30-day period, the Teacher may restore the activity.

When an activity is restored, its related Student activity-statistics records are also restored.

After 30 days, an activity remaining in the recycle bin is automatically deleted.

The 30-day recycle-bin period applies specifically to deleted activities and should not be interpreted as a universal retention period for all information processed by Edvento.

13 Requests and contact

Users may contact Edvento about privacy, account information, deletion or other information-handling concerns through:

[email protected]

Where the matter requires specialist technical, administrative or other review, Edvento may direct the request internally to the appropriate responsible person or team.

Users who control their own Adult Learner accounts may also use the available account and profile controls to update or delete information where those controls are provided.

14 Changes to this Privacy Notice

Edvento may update this Privacy Notice when its services, account models, information practices or product functionality change.

The updated version should identify its revision date so users can determine which version is current.

Acceptable Use Policy

Document: Acceptable Use Policy

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This Acceptable Use Policy applies to all Edvento users, activities, uploads, communications and access mechanisms.

Teachers and Institutions are responsible for explaining appropriate use expectations to Students in a form suitable for their age and educational context.

All users must use Edvento responsibly, lawfully and in a manner that protects other users and the integrity of the service.

1 Respect and safety

Do not:

  • harass, threaten, bully or intimidate another person;
  • discriminate against another person;
  • impersonate another person;
  • sexually exploit another person;
  • attempt to establish inappropriate private contact with a Student;
  • groom, manipulate or exploit a child;
  • upload, distribute or facilitate access to exploitative or illegal material; or
  • use Edvento to deliberately harm another person.

Educational discussion of sensitive subjects must remain appropriate to the age of the learners and the Teacher's authorized educational context.

2 Privacy and class access

Do not publish or disclose another person's:

  • account credentials;
  • private contact information;
  • private assessment results;
  • confidential educational information; or
  • identifiable Student information

without authorization or another valid basis for doing so.

Users must not share another person's personal information merely because they can access it through an authorized educational role.

Do not use a class code or QR code that was not intended for you.

Do not attempt to guess access codes, bypass class-membership controls or access a class outside your authorized role.

Class codes and QR codes do not by themselves grant class membership. Where Teacher approval is required, the Teacher must approve the join request before the Learner gains access to the class.

Student profiles are restricted and are not intended to be discoverable by unrelated users.

If information is accidentally exposed, do not copy, redistribute or exploit it.

Report the issue to [email protected].

3 Systems and security

Do not:

  • introduce malware or malicious code;
  • intentionally upload dangerous files;
  • steal or attempt to obtain another user's credentials;
  • scrape personal information;
  • attempt to overload or disrupt Edvento systems;
  • bypass technical restrictions;
  • interfere with authentication or access controls;
  • exploit a security weakness for unauthorized access; or
  • use real Student information for unauthorized security testing.

Security testing of Edvento systems requires prior authorization and an agreed scope.

Suspected security weaknesses or vulnerabilities should be reported privately to:

[email protected]

Edvento may direct the report internally to the appropriate technical personnel.

4 Content and intellectual property

Users may upload or create only content they are entitled to use.

Do not knowingly upload, publish or distribute unauthorized copies of copyrighted educational resources.

This includes unauthorized copies of:

  • textbooks;
  • examination papers;
  • worksheets;
  • commercial teaching resources;
  • images;
  • audio or video content; or
  • other protected materials.

Public availability of an Edvento activity does not automatically give another user permission to commercially resell, republish, modify or redistribute it.

Users remain responsible for ensuring that content they create, upload or share complies with applicable rights and permissions.

5 Assessments and academic integrity

Users must not deliberately undermine the integrity of an Edvento assessment.

Students and Learners must not:

  • submit another person's answers as their own;
  • obtain unauthorized answers during an assessment;
  • tamper with scores or assessment records;
  • share assessment credentials with another person;
  • sell or trade access to assessments; or
  • deliberately attempt to bypass assessment restrictions.

Teachers must not misuse assessment-monitoring functionality to intimidate or unfairly penalize Students.

Edvento may provide technical assessment-integrity features such as restrictions on text selection, screenshot functionality and browser-tab behaviour.

Supported Assessment activities may also include optional locally processed head-orientation monitoring.

The presence of an assessment warning or technical event does not by itself establish that a Student has cheated.

Teachers remain responsible for reviewing assessment information before making consequential

User Generated Content Policy

Document: User Generated Content Policy

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This policy applies to educational activities, questions, uploaded project materials, Student responses and other user-created content submitted to or created through Edvento.

This policy works together with the Terms of Use, Acceptable Use Policy and Copyright and Intellectual Property Policy.

1 Creating educational content

Teachers may create educational content through supported Edvento activity-creation tools.

Depending on the functionality available, Teachers may:

  • create questions and activities manually;
  • import questions using supported CSV files;
  • create questions using Edvento's AI-assisted activity-creation functionality; and
  • upload supported project materials.

Teachers are responsible for reviewing their content before using it with Students or Learners.

Teachers should ensure that the content is:

  • appropriate for the intended learners;
  • relevant to the educational purpose;
  • accurate enough for its intended use; and
  • suitable for the selected audience.

2 Selecting an audience

Teachers are responsible for selecting an appropriate audience when creating or sharing educational content.

A classroom audience and a public audience are different.

Content intended only for a class should not be made public unintentionally.

Student responses and Student submissions do not automatically become public merely because the Teacher makes the underlying educational activity publicly available.

Student profiles are restricted and are not intended to be publicly discoverable.

3 Personal information in content

Users should avoid including unnecessary personal information in activities, project materials and other educational content.

Teachers should not require Students to provide information that is unnecessary for the educational purpose.

This includes information such as:

  • passwords;
  • account credentials;
  • identity documents;
  • unnecessary personal contact information; or
  • unrelated private information.

Student profiles are designed to use limited personal information and do not permit personal profile photographs.

Users should review files and materials before uploading them to avoid unintentionally sharing private or unnecessary information.

4 Rights and responsibilities

Users may upload or create only material that they are entitled to use.

Edvento does not automatically take ownership of educational activities, Student work or other original user-created content.

Users remain responsible for respecting copyright and other intellectual-property rights when creating, uploading or sharing materials.

An educational purpose does not automatically authorize unrestricted copying of copyrighted material.

Users must not remove ownership, copyright or attribution information where it is required.

5 Prohibited content

Users must not knowingly create, upload or distribute through Edvento content that is:

  • unlawful;
  • exploitative;
  • threatening;
  • deliberately harmful;
  • malicious;
  • infringing;
  • designed to spread malware;
  • intended to steal credentials;
  • composed of exposed passwords or credentials; or
  • composed of private Student records without an authorized educational purpose.

Users must not use Edvento to harass, exploit or endanger another person.

Educational discussion of sensitive subjects may be appropriate in legitimate teaching contexts, but Teachers remain responsible for considering the age and educational context of their learners.

6 Student-generated content

Student responses and educational submissions are used for the relevant learning or assessment purpose.

Student-generated material is not automatically converted into public content.

Student work is not licensed under this policy for unrelated advertising.

Edvento does not use Student personal data for its documented AI question-generation process.

Teachers should avoid requesting Student-generated content that unnecessarily exposes private personal information.

7 Project uploads

The Projects activity allows users to upload materials for project-based educational work.

Teachers may review these materials as part of the project-evaluation process.

Edvento limits the permitted file types available through project uploads as part of its file-safety controls.

Users must not attempt to bypass those restrictions or upload harmful files.

Teachers may delete uploaded project materials after evaluating the project.

8 AI-assisted content

Teachers may use Edvento's AI-assisted activity-creation functionality to generate educational questions from learning objectives.

AI is an optional content-creation method.

Teachers may instead create questions manually or import them using supported CSV files.

Teachers retain control over AI-generated questions and may revise, replace or remove generated content before using it.

Teachers are responsible for reviewing AI-generated educational content for accuracy and suitability.

Edvento's documented AI workflow is used for question generation rather than Student-work evaluation.

Student personal data is not submitted to AI for Edvento's documented question-generation process.

9 Public activities

Teachers may make supported activities publicly available through Edvento.

Public availability allows the activity to be viewed or used according to Edvento's supported public functionality.

Public availability does not place the content in the public domain.

It does not automatically give another person unrestricted permission to:

  • commercially resell the content;
  • republish it elsewhere;
  • modify it and claim ownership;
  • remove attribution; or
  • redistribute it commercially.

Creators remain responsible for ensuring that they have permission to make the materials contained in a public activity available to others.

10 Reporting content

Users may report inappropriate, unlawful, infringing or otherwise concerning content through:

[email protected]

A report should contain enough information to identify the relevant content and explain the concern.

Users should provide only the information reasonably necessary for Edvento to review the report.

Users should not unnecessarily copy, download or redistribute harmful or private material simply for the purpose of submitting a report.

11 Review and moderation

Edvento may review credible reports concerning user-generated content.

Depending on the circumstances, Edvento may:

  • restrict access to content;
  • remove public visibility;
  • remove content;
  • restrict relevant functionality;
  • temporarily suspend an account; or
  • ban an account in serious or repeated cases.

A report does not automatically establish that the reported user has violated Edvento policies.

Edvento should consider the available information and distinguish accidental errors from deliberate or repeated misuse.

12 Copyright complaints

Copyright and intellectual-property complaints are handled according to the Edvento Copyright and Intellectual Property Policy.

Users must not knowingly use copyright complaints or content reports to interfere with lawful content or target another user maliciously.

13 Content deletion

Teachers may delete activities they have created.

Deleted activities are moved to the Edvento recycle bin for 30 days unless the Teacher permanently deletes them earlier.

During this period, the Teacher may restore the activity.

When restored, the activity returns with its related Student activity-statistics records.

After 30 days, an activity remaining in the recycle bin is automatically deleted.

Project materials may also be deleted by the Teacher after project evaluation.

14 External communication

Edvento does not provide an ordinary direct-message inbox for users.

Teachers may use the supported email-address request functionality with other Teachers.

Student profiles do not have that functionality.

If users voluntarily exchange contact details and communicate outside Edvento, that external communication takes place through the users' chosen external service rather than through Edvento's internal messaging system.

15 Changes to this policy

Edvento may update this User Generated Content Policy when its content-creation, activity, upload or sharing functionality changes.

The current version should identify its revision date so that users can determine which version applies.

Review sources

Source identifiers: S01; S05; S06.

Titles, URLs, access dates and research limitations are recorded in Document 43.

Community Guidelines

Document: Community Guidelines

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

Edvento is a place to create, teach, learn and practise.

These Community Guidelines apply to Teachers, Adult Learners and Students using Edvento.

Teachers and Institutions should explain these expectations to Students in an age-appropriate way before Students begin using the service.

1 Be respectful

Treat other users with respect.

Discuss ideas without attacking people.

Do not:

  • bully;
  • threaten;
  • harass;
  • humiliate;
  • deliberately exclude;
  • impersonate another person; or
  • target someone because of their background, identity, characteristics or ability.

Teachers should use language, examples and images appropriate to the age and educational context of their learners.

2 Protect yourself and others

Keep your account credentials private.

Do not share:

  • passwords;
  • Student credentials;
  • class access information; or
  • other private access details

with unauthorized people.

Do not publish or distribute another person's private information without authorization.

This includes:

  • private contact information;
  • account credentials;
  • assessment results;
  • Student records; and
  • other confidential educational information.

Student profiles are intentionally restricted and are not intended to be publicly discoverable.

Users must not attempt to contact Students for inappropriate purposes or outside a legitimate educational context.

3 Use classes responsibly

Class access codes and QR codes are intended to help users access the correct educational environment.

Do not:

  • use a class code that was not intended for you;
  • attempt to guess another class's access code;
  • share class access information with unauthorized users; or
  • attempt to access a class outside your authorized role.

Where Teacher approval is required, receiving a class code or QR code does not automatically grant class membership.

4 Learn honestly

Students and Learners should complete their own work unless collaboration is specifically permitted.

Do not:

  • submit another person's answers as your own;
  • deliberately obtain unauthorized answers during an assessment;
  • manipulate assessment results;
  • share assessment credentials;
  • sell or exchange answers; or
  • deliberately bypass assessment restrictions.

Students should follow their Teacher's assessment instructions.

Technical assessment warnings should not automatically be treated as proof of cheating. Teachers remain responsible for reviewing available information before making consequential educational decisions.

5 Use AI responsibly

Edvento may provide AI-assisted functionality to help Teachers create educational questions and activities.

Teachers remain responsible for reviewing AI-generated content before using it with Students or Learners.

Students and Teachers must not use Edvento's AI functionality to create deliberately harmful, unlawful or abusive content.

Student personal data should not be submitted for Edvento's documented AI question-generation workflow.

6 Share responsibly

Before making an activity public or displaying information to a group, check that the intended audience is correct.

Student responses and submissions should not become public simply because the underlying activity is shared publicly.

Only upload or share materials you are entitled to use.

Do not knowingly post or distribute:

  • unlawful content;
  • sexually exploitative material;
  • malicious files;
  • content designed to steal credentials;
  • private Student records;
  • unauthorized copyrighted material; or
  • material deliberately intended to harm another person.

Educational discussion of difficult or sensitive subjects may be appropriate when it is relevant, age-appropriate and handled responsibly.

7 Protect intellectual property

Respect the work of Teachers, Students, publishers and other creators.

Publicly available Edvento activities are not automatically in the public domain.

Do not assume that public visibility gives permission to:

  • commercially resell an activity;
  • republish it elsewhere;
  • remove attribution;
  • modify it and claim ownership; or
  • redistribute it commercially.

Acknowledge sources where attribution is required.

8 Use uploads safely

The Projects activity may allow users to upload materials for project work.

Do not upload:

  • malware;
  • harmful files;
  • unlawful material;
  • files intended to bypass Edvento restrictions; or
  • content that violates another person's rights.

Edvento restricts the file types permitted through project uploads.

Teachers may delete project materials after completing their evaluation.

9 Communicate appropriately

Edvento does not provide an ordinary direct-message inbox between users.

Teachers may use supported email-address request functionality with other Teachers.

Student profiles do not have this functionality.

If users voluntarily exchange contact details and communicate outside Edvento, that communication takes place through the external service they choose.

Do not use Edvento to obtain another person's contact details for harassment, unwanted communication or inappropriate Student contact.

10 Ask for help

If you encounter unsafe, suspicious, harmful or inappropriate behaviour, you may report it through:

[email protected]

Reports should include only the information needed to identify and understand the concern, such as:

  • the relevant account or activity;
  • the approximate time; and
  • a short description of what happened.

Do not unnecessarily copy, download or redistribute harmful, illegal or private material simply to make a report.

Where the issue involves a Student, Students should also be encouraged to tell a trusted adult where appropriate.

11 Fair action

Edvento may review credible reports concerning harmful, suspicious or inappropriate behaviour.

Depending on the circumstances, Edvento may:

  • provide guidance or a warning;
  • restrict access to content;
  • remove content;
  • restrict particular functionality;
  • temporarily suspend an account; or
  • ban an account in serious or repeated cases.

Urgent protective action may be taken when immediate restriction is reasonably necessary.

A report does not automatically prove wrongdoing.

Edvento should consider the available information and circumstances before taking action.

12 Requesting review

A user who believes that Edvento has taken action in error may request review through:

[email protected]

The request should identify the relevant account or decision and briefly explain why the user believes the action should be reconsidered.

Users should not be penalized merely for:

  • making a good-faith report;
  • raising a genuine concern;
  • reporting a security problem;
  • requesting review; or
  • respectfully disagreeing with another user.

13 Changes to these guidelines

Edvento may update these Community Guidelines as its services, safety requirements or educational functionality change.

The current version should identify its revision date so users can determine which version applies.

Account Deletion Policy

Document: Account Deletion Policy

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This policy explains how Edvento handles profile freezing, account deletion, Student-profile deletion and deleted activities.

Questions about account deletion may be sent to:

[email protected]

Where specialist handling is required, Edvento may direct the request internally to the appropriate responsible person or function.

1 Freezing and deletion are different

Edvento distinguishes between freezing an account and deleting an account.

Freezing an account restricts normal use but does not permanently remove the account data.

Deleting an account is intended to permanently remove the relevant profile and associated activity data from Edvento's database.

2 Adult Learners and Teachers

Users aged 18 or older control their own independent accounts.

Adult users may choose to freeze or delete their profiles using the available Edvento account controls.

Freezing an account

When an Adult user freezes a profile:

  • the profile can no longer be used normally;
  • past and current activity associated with the profile is hidden; and
  • Edvento retains the associated data so that the user may return later.

A frozen account is not the same as a deleted account.

Permanently deleting an account

When an Adult user chooses permanent deletion:

  • the profile is deleted;
  • data associated with the user is removed from Edvento's database; and
  • the deleted profile cannot be recovered through the normal Edvento recovery process.

A Teacher cannot delete an independent Adult Learner account merely because that Learner is participating in the Teacher's class.

3 Student profiles

Edvento distinguishes Student profiles from independent Adult Learner accounts.

A Student is a user under 18 whose profile is created and managed through the authorized Teacher or school workflow.

A Teacher is responsible for Student profiles created by that Teacher.

Teachers may delete Student profiles that they are authorized to manage.

Student profiles do not operate as independent Adult Learner accounts.

4 Students reaching the age of 18

When a Student reaches the age of 18, the Student profile is deleted rather than automatically converted into an Adult Learner account.

If the person wishes to continue using Edvento independently after reaching 18, they may create a new Adult Learner account.

The new Adult Learner account is separate from the former Student profile.

5 Class membership and account ownership

Removing a Learner from a class is different from deleting the Learner's account.

A Teacher may manage participation in their own classes but cannot delete an independent Adult Learner account.

Student profiles are managed according to the Teacher or school permissions that apply to those profiles.

6 Deleted activities

When a Teacher deletes an activity, the activity is moved to the Edvento recycle bin.

The activity remains in the recycle bin for 30 days unless the Teacher permanently deletes it earlier.

During the 30-day period, the Teacher may restore the activity.

If the activity is restored, its related Student activity-statistics records are also restored.

After 30 days, an activity remaining in the recycle bin is automatically deleted.

The 30-day recycle-bin rule applies to deleted activities and is not a universal retention period for all Edvento data.

7 Permanent activity deletion

Teachers may permanently delete an activity before the 30-day recycle-bin period ends.

Once permanently deleted through the supported process, the activity is no longer available for normal restoration.

8 Inactive profiles

Edvento does not automatically delete user profiles merely because they have been inactive.

An inactive profile remains in the system unless the user freezes or deletes it or another applicable Edvento account action is taken.

9 Banned profiles

Edvento may ban a profile where suspicious actions or behaviour are reported and reviewed.

A banned profile may be retained rather than deleted where Edvento needs to preserve relevant information connected with the reported issue.

Where Edvento receives an official request from a competent legal authority concerning suspected criminal activity, relevant information may be provided in accordance with applicable legal requirements.

10 Deletion and recovery

Edvento's documented deletion model does not provide a normal backup-recovery option for permanently deleted user profiles.

Frozen profiles remain retained because the user has chosen to preserve the profile for possible future use.

Deleted activities are temporarily recoverable only through the 30-day recycle-bin process described in this policy.

11 Contact

Users may contact Edvento about account deletion, frozen profiles, Student-profile deletion or related questions through:

[email protected]

The request should contain enough information to identify the relevant account or profile without including unnecessary personal or confidential information.

12 Changes to this policy

Edvento may update this Account Deletion Policy when its account-management, Student-profile or deletion functionality changes.

The current version should identify its revision date so users can determine which version applies.

Data Retention Policy

Document: Data Retention Policy

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This policy explains the retention rules that currently apply to specific categories of Edvento information.

Edvento aims to retain information only for as long as it is needed for the relevant service, account state or documented purpose.

1 Adult user accounts

Adult users may choose to freeze or delete their profiles.

Frozen profiles

When an Adult user freezes a profile:

  • the profile can no longer be used normally;
  • past and current activity associated with the profile is hidden; and
  • the associated information is retained so that the user may return later.

A frozen profile remains retained because the user has chosen freezing rather than permanent deletion.

Permanently deleted profiles

When an Adult user chooses permanent deletion:

  • the profile is deleted;
  • data relating to the user and the user's activity is removed from Edvento's database; and
  • the deleted profile cannot be recovered through the normal Edvento recovery process.

Edvento does not provide a normal backup-recovery option for permanently deleted user profiles.

2 Inactive accounts

Edvento does not automatically delete user profiles merely because they have been inactive.

An inactive profile therefore remains in the system unless the user freezes or deletes it or another applicable account action is taken.

3 Student profiles

Student profiles are managed separately from independent Adult Learner accounts.

A Teacher may delete Student profiles that the Teacher is authorized to manage.

When a Student reaches the age of 18, the Student profile is deleted rather than automatically converted into an Adult Learner account.

If the person wishes to continue using Edvento after reaching 18, they may create a new independent Adult Learner account.

4 Dynamic activity data

Dynamic activities use temporary participation data.

Students may participate in supported Dynamic activities without registration.

When a Teacher starts a new live game, the previous live participation data is deleted.

If the Teacher does not start another live game, the temporary participation data is automatically deleted after 24 hours.

The corresponding QR code and access code are included in this temporary session data and expire with it.

Dynamic activities do not create permanent Student achievement records or experience points.

5 Deleted activities

When a Teacher deletes an activity, the activity is moved to the Edvento recycle bin.

The activity remains in the recycle bin for 30 days unless the Teacher permanently deletes it earlier.

During this 30-day period, the Teacher may restore the activity.

If the activity is restored, its related Student activity-statistics records are also restored.

After 30 days, an activity remaining in the recycle bin is automatically deleted.

The 30-day retention rule applies specifically to deleted activities.

It does not apply automatically to all other Edvento information.

6 Permanent activity deletion

A Teacher may permanently delete an activity before the 30-day recycle-bin period ends.

Once permanently deleted through the supported process, the activity is no longer available for normal restoration.

7 Project uploads

The Projects activity allows users to upload materials for project work.

Teachers may delete uploaded project materials after evaluating the project.

The retention of project materials therefore depends on whether the Teacher continues to keep them for the educational purpose of the project.

8 Ambassador records

Edvento maintains records of past Ambassadors.

Former Ambassadors may continue to have an Ex-Ambassador badge displayed on their profile as recognition of their previous contribution to Edvento.

This recognition record is retained separately from active Ambassador privileges.

9 Banned accounts

Edvento may retain a banned profile where information is relevant to a reported suspicious action or behaviour.

Where Edvento receives an official request from a competent legal authority concerning suspected criminal activity, relevant information associated with the banned account may be provided in accordance with applicable legal requirements.

10 Data minimization

Edvento considers data minimization when designing its functionality.

Where possible, the team aims to reduce the amount of personal information collected without preventing the intended operation of the service.

Where information is not required permanently, Edvento may provide users with controls to change or delete it.

11 Contact

Users may ask questions about retention, profile deletion, frozen accounts or deleted activities through:

[email protected]

Users should provide only the information reasonably necessary to identify the relevant account, profile or activity.

12 Changes to this policy

Edvento may update this Data Retention Policy when its account-management, activity, programme or deletion functionality changes.

The current version should identify its revision date so that users can determine which version applies.

02 - User and School Agreements

Edvento’s User and School Agreements define the responsibilities, permissions, and data-handling arrangements that apply when Teachers, schools, and educational institutions use Edvento with learners and Students.

These agreements cover Teacher authorization to create and manage Student profiles, institutional use of Edvento, the processing of personal data on behalf of educational organizations, and additional protections relating specifically to Student information.

The documents in this section include the Teacher Authorization and Student Account Agreement, School and Institution Agreement, Data Processing Agreement (DPA), and Student Data Processing Addendum. Each document applies only where the relevant Teacher, Institution, or data-processing relationship exists.

These agreements should be read together with Edvento’s Public Policies where relevant. Questions about institutional agreements or Student account arrangements may be sent to [email protected].

Teacher Authorization and Student Account Agreement

Document: Teacher Authorization and Student Account Agreement

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This agreement applies when a Teacher creates or manages Student profiles through Edvento.

It supplements Edvento's Terms of Use and related Student-protection and account-management policies.

1 Teacher eligibility

A Teacher using Edvento must be at least 18 years old.

Teachers may create educational activities, manage classes and create Student profiles for learners under 18 through the supported Edvento functionality.

A Teacher must use Student-profile functionality only for legitimate educational purposes.

2 Student profiles

A Student is a user under 18 whose profile is created and managed through the Teacher or school workflow.

Student profiles are different from independent Adult Learner accounts.

Students under 18 cannot independently create an Adult Learner account.

Student profiles have more restricted functionality than Adult Learner accounts.

3 Teacher responsibility

A Teacher is responsible for the Student profiles created by that Teacher.

The Teacher must use the Student-profile functionality appropriately and only for Students the Teacher is authorized to manage in the educational context.

The Teacher should keep Student information limited to what is reasonably necessary for educational use.

Student profiles must not contain unnecessary personal information.

Student profiles are not permitted to use personal profile photographs.

4 Access to Student profiles

Student profiles are not intended to be publicly discoverable.

A Student profile is visible to the relevant Teacher and, where applicable, authorized school administrators.

Unrelated Teachers and ordinary users should not have access to a Student profile.

Teachers must access only the Student profiles and records that fall within their own authorized educational role.

5 Class membership

Students cannot independently scan a QR code and join a class.

Where the school-management workflow is used, new class assignments are controlled by an authorized school administrator or authorized Teacher.

Class access codes and QR codes are not sufficient by themselves to establish approved membership where Teacher approval is required.

Teachers should verify Student membership before granting access to class activity.

6 Credentials and security

Teachers should distribute Student credentials privately.

Teachers must take reasonable steps to prevent unauthorized people from obtaining Student credentials, class access information or other restricted access details.

Suspected unauthorized access, compromised credentials or related concerns should be reported to:

[email protected]

Edvento may direct the report internally to the appropriate technical or administrative personnel.

7 Communication with Students

Student profiles do not include ordinary direct-message functionality.

Student profiles do not have the Teacher email-address request functionality available between Teachers.

Teachers must not use Edvento to establish inappropriate or unauthorized private communication with Students.

Any communication involving Students should remain connected to the legitimate educational purpose of the Teacher's role.

8 Educational content

Teachers are responsible for reviewing activities and educational content before assigning them to Students.

Teachers should consider:

  • the accuracy of the material;
  • the suitability of the material;
  • the age of the learners;
  • the intended audience; and
  • whether the content is appropriate for the educational purpose.

Teachers using AI-assisted activity creation remain responsible for reviewing the final questions before use.

9 Assessments

Teachers may use supported Edvento assessment functionality with Students.

Assessment tools may include technical controls designed to support assessment integrity.

Supported Assessment activities may also offer optional local head-orientation monitoring.

Where this functionality is used:

  • the Teacher may enable or disable it;
  • the Student may refuse to use the optional monitoring functionality;
  • processing takes place locally on the Student's device; and
  • the head-tracking information is not sent to an external server for processing.

Teachers may also use supported browser-tab restrictions during applicable assessments.

Technical monitoring information should support Teacher review and should not replace professional judgement.

10 Student-profile deletion

Teachers may delete Student profiles that they are authorized to manage.

A Teacher cannot delete an independent Adult Learner account.

Removing a Student or Learner from a class is different from deleting an independent Adult Learner account.

11 Students reaching age 18

When a Student reaches the age of 18, the Student profile is deleted rather than automatically converted into an Adult Learner account.

If the individual wishes to continue using Edvento independently after reaching 18, they may create a new Adult Learner account.

The new Adult Learner account is separate from the former Student profile.

12 Reporting concerns

Teachers should report suspected misuse, unauthorized access, inappropriate behaviour, mistaken disclosure or Student-account concerns through:

[email protected]

Only information reasonably necessary to explain and review the concern should be submitted.

Teachers should not unnecessarily copy, download or distribute private Student information while reporting an issue.

13 Teacher acceptance

By using Edvento's Student-profile functionality, the Teacher agrees to:

  • use Student profiles only for legitimate educational purposes;
  • manage only Students within the Teacher's authorized educational role;
  • protect Student credentials and access information;
  • minimize unnecessary Student information;
  • follow Edvento's Student privacy and safety restrictions;
  • review educational and assessment content before use; and
  • follow the applicable Edvento policies.

14 Related policies

This agreement should be read together with the relevant Edvento policies, including:

  • Terms of Use;
  • Privacy Notice;
  • Acceptable Use Policy;
  • Community Guidelines;
  • Account Deletion Policy;
  • Data Retention Policy; and
  • User Generated Content Policy.

15 Changes to this agreement

Edvento may update this agreement when its Student-account, class-management, assessment or Teacher functionality changes.

The current version should identify its revision date so Teachers can determine which version applies.

School and Institution Agreement

Document: School and Institution Agreement

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This agreement describes the responsibilities that apply when a school, tutoring centre, training centre or other educational institution uses Edvento for authorized educational purposes.

It should be read together with the relevant Edvento public policies and Student-account documents.

1 Institutional use of Edvento

Educational institutions may use Edvento to support teaching, educational activity creation, class management and assessment.

Institutions are responsible for ensuring that the people using Edvento on their behalf are authorized to do so.

An Institution may use Edvento with:

  • Teachers;
  • Adult Learners aged 18 or older; and
  • Students under 18 using the restricted Student-profile model.

Institutional use must remain connected to a legitimate educational purpose.

2 Account roles

Edvento distinguishes between different user roles.

A Teacher is an adult aged 18 or older who may create educational activities, manage classes and use supported Teacher functionality.

An Adult Learner is a person aged 18 or older who controls their own Learner account.

A Student is a person under 18 whose profile is created and managed through an authorized Teacher or school workflow.

Students under 18 are not treated as independent Adult Learners.

3 Student profiles

Student profiles are designed to be more restricted than Adult Learner accounts.

Student profiles:

  • do not have the same independent account functionality as Adult Learners;
  • are not intended to be publicly discoverable;
  • are visible to the relevant Teacher and authorized school administrators;
  • do not permit personal profile photographs; and
  • should contain only information reasonably necessary for the educational purpose.

Institutions and Teachers should avoid entering unnecessary personal information into Student profiles.

4 Creating and managing Student profiles

Teachers may create Student profiles through supported Edvento functionality.

A Teacher is responsible for Student profiles created by that Teacher.

Where a school-management workflow is used, authorized school administrators may also participate in Student and class management.

Teachers and Institutions must use Student-profile functionality only for legitimate educational purposes.

5 Class assignment and membership

Students cannot independently scan a QR code and join a class.

Where the relevant school-management workflow is used, Student class assignments are controlled by authorized school administrators or authorized Teachers.

For Learner class requests, a class code or QR code may be used as an invitation mechanism.

Where Teacher approval is required, possession of a class code or QR code alone does not grant class membership.

The Teacher must approve the join request before access is granted.

6 Student visibility

Student profiles are intended to remain restricted to the relevant educational relationship.

Unrelated Teachers, Learners and ordinary users should not be able to discover Student profiles or access their educational records.

Adult Learner profiles are also hidden from general discovery.

A Teacher may access information concerning an Adult Learner where the Learner has joined that Teacher's class and the relevant Edvento functionality permits that access.

If an Adult Learner independently completes a public activity outside such a class relationship, the activity owner does not receive the Learner's name in the report merely because the activity was completed.

7 Educational content

Institutions and Teachers remain responsible for the educational suitability of the materials they create, select or assign.

Teachers should review:

  • activity content;
  • answer keys;
  • audience settings;
  • imported materials;
  • AI-generated questions; and
  • assessment results

before using them for consequential educational decisions.

Edvento may assist with educational activity creation but does not replace professional Teacher judgement.

8 AI-assisted activity creation

Edvento supports several methods of activity creation.

Teachers may:

  • create questions manually;
  • import questions using supported CSV files; or
  • generate questions from learning objectives using Edvento's AI-assisted activity-creation functionality.

Teachers remain responsible for reviewing and editing AI-generated content before use.

Edvento's documented AI workflow is used for question generation rather than for evaluating Student work.

Student personal data is not submitted to AI for Edvento's documented question-generation process.

9 Assessment use

Institutions may use supported Edvento Assessment activities for diagnostic and summative assessment.

Assessment results may be recorded in the relevant gradebook.

Teachers remain responsible for reviewing assessment results before making consequential educational decisions.

Supported Assessment functionality may include:

  • restrictions relating to text selection or screenshots;
  • browser-tab controls; and
  • optional local head-orientation monitoring.

Where local head-orientation monitoring is available:

  • the Teacher may enable or disable it;
  • the Student may refuse to use the optional functionality;
  • processing occurs locally on the user's device; and
  • the head-tracking information is not sent to an external server for processing.

10 Student communication

Edvento does not provide an ordinary direct-message inbox between users.

Student profiles do not have the Teacher email-address request functionality available between Teachers.

Institutions and Teachers must not use Edvento to create inappropriate or unauthorized private communication with Students.

Any communication involving Students should remain connected to the legitimate educational purpose of the Institution or Teacher.

11 Student-profile deletion

Teachers may delete Student profiles that they are authorized to manage.

A Teacher cannot delete an independent Adult Learner account.

Removing someone from a class is different from deleting an independent Adult Learner account.

When a Student reaches the age of 18, the Student profile is deleted rather than automatically converted into an Adult Learner account.

If the individual wishes to continue using Edvento independently, they may create a new Adult Learner account.

12 Activity deletion

When a Teacher deletes an activity, the activity is moved to the Edvento recycle bin.

The activity remains there for 30 days unless the Teacher permanently deletes it earlier.

During this period, the Teacher may restore the activity.

If restored, the activity returns with its related Student activity-statistics records.

After 30 days, an activity remaining in the recycle bin is automatically deleted.

13 Security and responsible access

Institutions and Teachers should protect:

  • administrator credentials;
  • Teacher credentials;
  • Student credentials;
  • class access codes; and
  • other restricted access mechanisms.

Access should be limited to users who require it for their educational role.

Suspected unauthorized access, compromised credentials or related concerns should be reported through:

[email protected]

Edvento may direct the report internally to the appropriate responsible person or technical function.

14 Content and intellectual property

Institutions and Teachers remain responsible for ensuring that they are entitled to use the educational materials they upload or distribute through Edvento.

Edvento does not automatically take ownership of Institution materials, Teacher-created activities or Student original work.

Users must respect applicable copyright and attribution requirements.

Public visibility of an activity does not automatically place that activity in the public domain or authorize unrestricted commercial reuse.

15 Related Edvento documents

Institutional users should also review the relevant Edvento documents, including:

  • Terms of Use;
  • Privacy Notice;
  • Acceptable Use Policy;
  • Copyright and Intellectual Property Policy;
  • User Generated Content Policy;
  • Community Guidelines;
  • Account Deletion Policy;
  • Data Retention Policy;
  • Teacher Authorization and Student Account Agreement;
  • Data Processing Agreement; and
  • Student Data Processing Addendum.

16 Contact

Questions concerning institutional use of Edvento may be sent to:

[email protected]

Where specialist handling is required, Edvento may direct the request internally to the appropriate responsible person or function.

17 Changes to this agreement

Edvento may update this agreement when its institutional, class-management, Student-account or assessment functionality changes.

The current version should identify its revision date so that Institutions can determine which version applies.

Data Processing Agreement – DPA

Document: Data Processing Agreement – DPA

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This document describes the data-processing principles that apply when an educational institution uses Edvento for classes, Student profiles, educational activities and assessments.

It should be read together with the School and Institution Agreement, Student Data Processing Addendum, Privacy Notice, Account Deletion Policy and Data Retention Policy.

1 Purpose of processing

Edvento processes information in order to provide educational functionality selected by Teachers and Institutions.

This may include:

  • account administration;
  • Student-profile management;
  • class membership;
  • educational activity delivery;
  • assignments;
  • Student and Learner responses;
  • assessment results;
  • gradebook records;
  • experience points and badges;
  • project submissions; and
  • technical functionality required to provide the selected service.

Edvento aims to limit personal-data collection to information needed for the intended functionality.

2 Data minimization

Edvento considers data minimization when designing and operating its services.

Where a technical or educational feature requires information, the team considers whether the functionality can operate using less personal information.

Student profiles are designed to contain less information and provide more restricted functionality than independent Adult Learner accounts.

Student profiles must not contain unnecessary personal information or personal profile photographs.

3 User categories

Edvento distinguishes between the following user types.

A Teacher is an adult aged 18 or older who may create activities, manage classes and use supported Teacher functionality.

An Adult Learner is a person aged 18 or older who controls their own independent Learner account.

A Student is a person under 18 whose profile is created and managed through the authorized Teacher or school workflow.

Authorized school administrators may also have access to Student profiles and relevant school-management functionality.

4 Student access restrictions

Student profiles are restricted.

Student profiles are visible to their relevant Teachers and authorized school administrators.

They are not intended to be discoverable by unrelated Teachers, Learners or ordinary users.

Students cannot independently scan a QR code and join another class.

Where the school-management workflow is used, class assignments are controlled by authorized school administrators or authorized Teachers.

5 Learning and assessment data

Depending on the activity used, Edvento may process:

  • class membership;
  • activity participation;
  • answers;
  • responses;
  • assessment results;
  • completion information;
  • experience points;
  • badges; and
  • activity statistics.

Different Edvento activity categories handle information differently.

Dynamic activities

Dynamic activities use temporary participation data.

Students may participate in supported Dynamic activities without registration.

When a Teacher starts a new live game, the previous participation data is deleted.

If another game is not started, the participation data is automatically deleted after 24 hours.

The corresponding QR code and access code expire with the temporary session information.

Dynamic activities do not create permanent Student achievement records or experience points.

Individual activities

Individual activities may contribute to experience points and badges.

Results from Individual activities are not recorded in the class gradebook.

Assessment activities

Assessment activities are designed for diagnostic and summative assessment.

Assessment results are recorded in the relevant gradebook.

Assessment activities do not contribute to Student profile experience points.

6 Project submissions

The Projects activity allows users to upload materials for educational project work.

Teachers may access those materials for the purpose of evaluating the project.

Edvento restricts the file types permitted through the Projects activity.

Teachers may delete project materials after completing the evaluation.

7 AI-assisted activity creation

Edvento provides AI-assisted functionality to help Teachers create educational questions from learning objectives.

Teachers may also create questions manually or import them through supported CSV files.

Teachers retain control over AI-generated content and are responsible for reviewing and revising it before use.

Edvento's documented AI functionality is used for question generation rather than Student-work evaluation.

Student personal data is not submitted to AI for Edvento's documented question-generation process.

8 Assessment monitoring

Supported Assessment activities may include optional local head-orientation monitoring.

Where this functionality is available:

  • the Teacher may enable or disable it;
  • the Student may refuse to use it;
  • processing takes place locally on the user's device; and
  • the head-tracking information is not sent to an external server for processing.

Teachers may also use supported controls relating to browser-tab activity during an assessment.

Edvento may restrict text selection and screenshot functionality during supported activities as part of its assessment-integrity and content-protection controls.

9 Communications

Edvento does not provide an ordinary direct-message inbox between users.

Teachers may use supported email-address request functionality with other Teachers.

Student profiles do not have this functionality.

The Edvento administration panel does not provide bulk promotional email functionality for Students.

Where Edvento needs to communicate information directly to Student users through the platform, in-product notices may be used.

10 Account deletion

Adult users may freeze or permanently delete their own profiles through the available account controls.

When an Adult account is frozen, the account cannot be used normally while the associated information is retained so the user may return later.

When an Adult account is permanently deleted, the profile and related activity data are removed from Edvento's database.

A permanently deleted Adult profile cannot be restored through the normal Edvento recovery process.

11 Student-profile deletion

Teachers may delete Student profiles they are authorized to manage.

A Teacher cannot delete an independent Adult Learner account.

When a Student reaches the age of 18, the Student profile is deleted rather than converted automatically into an Adult Learner account.

If the individual wishes to continue using Edvento independently, they may create a new Adult Learner account.

12 Deleted activities

Deleted activities are moved to the Edvento recycle bin.

They remain there for 30 days unless the Teacher permanently deletes them earlier.

During the 30-day period, the Teacher may restore the activity.

If restored, the activity returns with its related Student activity-statistics records.

After 30 days, an activity remaining in the recycle bin is automatically deleted.

The 30-day recycle-bin period applies specifically to deleted activities and is not a universal retention period for all Edvento information.

13 Inactive accounts

Edvento does not automatically delete user profiles merely because they have been inactive.

An inactive profile remains in the system until the user freezes or deletes it or another applicable account action is taken.

Student Data Processing Addendum

Document: Student Data Processing Addendum

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This addendum accompanies the School and Institution Agreement and the Data Processing Agreement.

Its purpose is to describe the additional restrictions and protections that apply to Student profiles and Student-related information within Edvento.

1 Student account model

For Edvento's account model, a Student is a person under 18.

Students under 18 do not create independent Adult Learner accounts.

Student profiles are created and managed through the authorized Teacher or school workflow.

Student profiles are intentionally more restricted than Adult Learner accounts.

A Teacher is responsible for Student profiles created by that Teacher.

2 Data minimization

Student profiles are designed to use limited personal information.

Teachers and Institutions should avoid entering information that is not necessary for the educational purpose.

Student profiles must not use personal profile photographs.

Teachers should not use Student profiles to collect unnecessary information such as:

  • private contact details;
  • identity documents;
  • unrelated personal information; or
  • information not required for the educational activity.

Edvento aims to minimize personal-data collection without preventing the intended functionality of the service.

3 Student visibility

Student profiles are not intended to be publicly discoverable.

Student profiles are visible to:

  • the relevant Teacher; and
  • authorized school administrators where the school-management functionality applies.

Unrelated Teachers, Adult Learners and ordinary users should not be able to discover Student profiles.

A Student's profile, results or activity records should remain within the educational relationship for which access is permitted.

4 Class membership

Students cannot independently scan a QR code and join another class.

Where the school-management workflow is used, new class assignments are controlled by an authorized school administrator or authorized Teacher.

For other supported class-join workflows, access codes and QR codes function as invitation mechanisms.

Where Teacher approval is required, possession of a class code or QR code alone does not grant membership.

5 Student learning data

Depending on the educational activity being used, Student-related information may include:

  • class membership;
  • activity participation;
  • responses;
  • assessment results;
  • completion information;
  • experience points;
  • badges; and
  • activity statistics.

Different activity categories handle this information differently.

6 Dynamic activities

Supported Dynamic activities may allow Students to participate without registration.

Dynamic activity participation data is temporary.

When the Teacher starts a new live game, the previous live participation data is deleted.

If no new game is started, the temporary participation information is automatically deleted after 24 hours.

The related game QR code and access code expire with the temporary session information.

Dynamic activities do not create permanent Student achievement records or experience points.

7 Individual activities

Individual activities may contribute to Student or Learner experience points and badges.

Results from Individual activities are not recorded in the class gradebook.

Edvento may record which activity types a Learner has used in order to award activity-related badges.

8 Assessment activities

Assessment activities are designed for diagnostic and summative assessment.

Assessment results are recorded in the relevant gradebook.

Assessment activities do not contribute to Student profile experience points.

Teachers remain responsible for reviewing assessment results before making consequential educational decisions.

9 Student submissions and project uploads

Student responses and submissions are used for their relevant educational or assessment purpose.

Student submissions do not automatically become public merely because the underlying educational activity is publicly available.

The Projects activity allows supported materials to be uploaded for project work.

Teachers may review those materials for evaluation.

Edvento restricts the permitted file types available through project uploads.

Teachers may delete project materials after completing the evaluation.

10 AI use

Edvento's documented AI functionality is used to help Teachers generate educational questions from learning objectives.

Edvento does not use AI to evaluate Student work under this documented workflow.

Student personal data is not submitted to AI for Edvento's documented question-generation process.

Teachers remain responsible for reviewing AI-generated educational content before using it with Students.

11 Assessment monitoring

Supported Assessment activities may include optional local head-orientation monitoring.

Where this functionality is available:

  • the Teacher may enable or disable it;
  • the Student may refuse to use it;
  • processing takes place locally on the Student's device; and
  • the head-tracking information is not sent to an external server for processing.

Teachers may also use supported controls relating to browser-tab activity during an assessment.

Edvento may restrict text selection and screenshot functionality during supported activities as part of assessment-integrity and content-protection controls.

12 Student communications

Edvento does not provide an ordinary direct-message inbox between users.

Student profiles do not have the Teacher email-address request functionality available between Teachers.

The Edvento administration panel does not provide functionality for sending bulk promotional emails to Students.

Where Edvento needs to provide information directly to Student users through the platform, it may use in-product notices such as welcome pop-ups.

13 Student account deletion

Teachers may delete Student profiles they are authorized to manage.

A Teacher cannot delete an independent Adult Learner account.

Removing someone from a class is different from deleting an independent Adult Learner account.

14 Students reaching age 18

When a Student reaches the age of 18, the Student profile is deleted rather than automatically converted into an Adult Learner account.

If the person wishes to continue using Edvento independently after reaching 18, they may create a new Adult Learner account.

The new Adult Learner account is separate from the former Student profile.

15 Security and access

Teachers and Institutions should protect:

  • Student credentials;
  • Teacher credentials;
  • administrator credentials;
  • class access details; and
  • educational records.

Access to Student information should be limited to users who require it for the authorized educational purpose.

Suspected unauthorized access or Student-data concerns should be reported through:

[email protected]

Only information reasonably necessary to identify and review the issue should be submitted.

16 Related documents

This addendum should be read together with the relevant Edvento documents, including:

  • School and Institution Agreement;
  • Data Processing Agreement;
  • Teacher Authorization and Student Account Agreement;
  • Privacy Notice;
  • Acceptable Use Policy;
  • Community Guidelines;
  • Account Deletion Policy; and
  • Data Retention Policy.

17 Changes to this addendum

Edvento may update this addendum when its Student-profile, class-management, assessment or information-handling functionality changes.

The current version should identify its revision date so Institutions and Teachers can determine which version applies.

03 - Privacy and Student Protection

Edvento’s Privacy and Student Protection documents explain how Student information is handled, protected, and communicated to Students, families, Teachers, and educational institutions.

This section includes separate notices and procedures for different audiences and purposes. The Children and Student Privacy Notice explains the overall approach to Student information, while the Student Friendly Privacy Notice presents the key points in simpler language for Students. The Student Data Protection Policy describes the safeguards applied to Student information, and the Parent and Guardian Information Notice provides information specifically for families and guardians.

The section also includes the Data Subject Rights and Privacy Request Procedure, which explains how privacy-related requests are handled, together with the relevant KVKK information and explicit-consent documents used where applicable.

These documents should be read together with Edvento’s Privacy Notice, Account Deletion Policy, Data Retention Policy, and institutional agreements where relevant. Questions about privacy or Student information may be sent to [email protected].

Student Friendly Privacy Notice

Document: Student Friendly Privacy Notice

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

Edvento helps your Teacher share activities, manage your class and see how your learning is going.

This notice explains what happens to information about you when you use Edvento.

If anything here is difficult to understand, you can ask your Teacher or another trusted adult to help you.

1 Your Student profile

If you are under 18, you do not create an independent Adult Learner account on Edvento.

Your Student profile is created and managed through your Teacher or school.

Student profiles have fewer features than Adult Learner accounts.

Your Student profile should contain only the information needed for your learning.

Personal profile photographs are not used on Student profiles.

2 Information about your learning

Depending on the activity you use, Edvento may keep information such as:

  • your Student profile identifier;
  • the classes you belong to;
  • the activities you complete;
  • your answers;
  • your assessment results;
  • whether you completed an activity;
  • your experience points;
  • your badges; and
  • your activity statistics.

Different activities use this information in different ways.

3 Who can see your profile

Your Student profile is not intended to be searchable by strangers or unrelated users.

Your profile can be seen by:

  • your relevant Teacher; and
  • authorized school administrators where your school uses that functionality.

Other Teachers who are not responsible for you should not be able to search for your Student profile.

4 Joining classes

Student profiles cannot independently scan a QR code and join another class.

Your school administrator or authorized Teacher controls which classes you are assigned to.

This helps prevent Students from joining classes they are not supposed to access.

5 Live activities

Some live Edvento activities can be played without creating an account.

Information from these live games is temporary.

When the Teacher starts a new live game, the previous game's participation information is deleted.

If no new game is started, that information is automatically deleted after 24 hours.

The QR code and access code for that live game also expire with the session.

Live activities do not give you permanent experience points.

6 Individual activities

Individual activities may give you experience points and badges.

These activities can help you follow your progress and try different Edvento activity types.

Results from Individual activities are not added to your class gradebook.

7 Assessments

Assessment activities may be used for diagnostic or summative assessment.

Results from these activities may be recorded in your class gradebook.

Your Teacher should review assessment results before making important decisions about your learning.

Some supported assessments may include optional monitoring tools.

For example, Edvento may offer local head-orientation monitoring.

If this feature is available:

  • your Teacher can turn it on or off;
  • you can refuse to use the optional monitoring feature;
  • the processing happens on your device; and
  • the head-tracking information is not sent to an external server for processing.

8 Your project work

The Projects activity may allow you to upload materials for your project.

Your Teacher may use those materials to evaluate your work.

Edvento limits the types of files that can be uploaded.

Your Teacher may delete your uploaded project materials after evaluating the project.

9 AI and your information

Edvento uses AI to help Teachers create educational questions from learning objectives.

Edvento does not use your personal information for this question-generation process.

Edvento's documented AI tool is not used to evaluate your work.

Your Teacher remains responsible for checking AI-generated questions before using them with you.

10 Messages and contact

Edvento does not give Student profiles an ordinary private-message inbox.

Student profiles also cannot use the email-address request feature available between Teachers.

Edvento's administration panel does not provide bulk promotional email functionality for Students.

Edvento may sometimes show information to Students inside the platform, such as an in-product notice or welcome message.

11 Keeping your account safe

Keep your password and Student credentials private.

Do not give them to other Students or people who are not authorized to use your account.

If someone asks for your password, accesses your account without permission or makes you feel unsafe, tell your Teacher or another trusted adult.

You can also contact Edvento at:

[email protected]

12 Deleting your Student profile

Your Teacher may delete your Student profile if they are authorized to manage it.

Leaving a class and deleting your Student profile are not the same thing.

When you reach the age of 18, your Student profile is deleted rather than automatically changed into an Adult Learner account.

If you want to continue using Edvento independently after you turn 18, you may create a new Adult Learner account.

13 Questions or concerns

If you have a question about your Student profile or information, you can:

You do not need to use legal words to ask a question or explain a concern.

14 Changes to this notice

Edvento may update this notice when its Student-profile, class, activity or privacy functionality changes.

The current version should show the date it was last updated.

Student Data Protection Policy

Document: Student Data Protection Policy

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This policy explains the protection principles that apply to Student information within Edvento.

For Edvento's account model, a Student is a person under 18 whose profile is created and managed through the Teacher or school workflow.

1. Data minimization

Edvento aims to minimize the amount of personal information collected about Students.

Student profiles should contain only information reasonably necessary for educational use.

Teachers and Institutions should avoid entering unnecessary personal information.

Student profiles must not use personal profile photographs.

Edvento considers whether a feature can operate with less personal information before additional information is collected.

2. Student profile restrictions

Student profiles are intentionally more restricted than independent Adult Learner accounts.

Students under 18 do not independently create Adult Learner accounts.

A Teacher is responsible for Student profiles created by that Teacher.

Student profiles should be used only for legitimate educational purposes.

3. Student visibility

Student profiles are not intended to be publicly discoverable.

Student profiles are visible to:

- the relevant Teacher; and

- authorized school administrators where school-management functionality applies.

Unrelated Teachers, Adult Learners and ordinary users should not be able to discover Student profiles.

Adult Learner profiles are also hidden from general discovery.

A Teacher may access an Adult Learner in connection with a class relationship, but should not be able to access an unrelated Learner simply by obtaining a profile link.

4. Class membership

Students cannot independently scan a QR code and join another class.

Where the school-management workflow is used, new Student class assignments are controlled by an authorized school administrator or authorized Teacher.

For supported Learner join workflows, class codes and QR codes are invitation mechanisms.

Where Teacher approval is required, possession of a class code or QR code alone does not grant class membership.

5. Learning information

Depending on the activity used, Edvento may process Student information such as:

- class membership;

- activity participation;

- responses;

- assessment results;

- completion information;

- experience points;

- badges; and

- activity statistics.

Different activity categories use and retain information differently.

6. Dynamic activities

Dynamic activities use temporary participation information.

Students may participate in supported Dynamic activities without registration.

When the Teacher starts a new live game, the previous participation data is deleted.

If another game is not started, the temporary participation data is automatically deleted after 24 hours.

The corresponding QR code and access code expire with the temporary session information.

Dynamic activities do not create permanent Student achievement records or experience points.

7. Individual activities

Individual activities may contribute to Student or Learner experience points and badges.

Results from Individual activities are not recorded in the class gradebook.

Edvento may record which activity types a Learner has used in order to award activity-related badges.

8. Assessment activities

Assessment activities are designed for diagnostic and summative assessment.

Assessment results are recorded in the relevant gradebook.

Assessment activities do not contribute to Student profile experience points.

Teachers remain responsible for reviewing assessment results before making important educational decisions.

9. Student communications

Edvento does not provide an ordinary direct-message inbox between users.

Student profiles do not have the Teacher email-address request functionality available between Teachers.

The Edvento administration panel does not provide functionality for sending bulk promotional emails to Students.

Where Edvento needs to communicate directly with Student users through the platform, it may use in-product notices such as welcome pop-ups.

10. AI and Student information

Edvento uses AI to help Teachers generate educational questions from learning objectives.

Edvento does not use AI to evaluate Student work under its documented question-generation workflow.

Student personal data is not submitted to AI for this documented question-generation process.

Teachers remain responsible for reviewing AI-generated educational content before using it with Students.

11. Assessment monitoring

Supported Assessment activities may include optional local head-orientation monitoring.

Where this functionality is available:

- the Teacher may enable or disable it;

- the Student may refuse to use it;

- processing takes place locally on the Student's device; and

- the head-tracking information is not sent to an external server for processing.

Teachers may also use supported browser-tab controls during applicable assessments.

Edvento may restrict text selection and screenshot functionality during supported activities as part of assessment-integrity and content-protection controls.

12. Project uploads

The Projects activity allows supported materials to be uploaded for educational project work.

Teachers may access those materials for evaluation.

Edvento restricts the file types permitted through project uploads.

Teachers may delete project materials after completing the evaluation.

13. Student-profile deletion

Teachers may delete Student profiles that they are authorized to manage.

A Teacher cannot delete an independent Adult Learner account.

Removing a person from a class is different from deleting an independent Adult Learner account.

When a Student reaches the age of 18, the Student profile is deleted rather than automatically converted into an Adult Learner account.

If the individual wants to continue using Edvento independently, they may create a new Adult Learner account.

14. Protecting credentials and access

Teachers and Institutions should protect:

- Student credentials;

- Teacher credentials;

- administrator credentials;

- class access codes; and

- other restricted access information.

Credentials should be shared only with the intended user.

Suspected unauthorized access or compromised credentials should be reported to:

[email protected]

Only information reasonably necessary to identify and review the issue should be submitted.

15. Deleted activities

Deleted activities are moved to the Edvento recycle bin.

They remain there for 30 days unless the Teacher permanently deletes them earlier.

During this period, the Teacher may restore the activity.

If restored, the activity returns with its related Student activity-statistics records.

After 30 days, an activity remaining in the recycle bin is automatically deleted.

The 30-day period applies specifically to deleted activities and is not a universal retention period for all Student information.

16. Changes to this policy

Edvento may update this policy when its Student-profile, class-management, assessment or information-handling functionality changes.

The current version should identify its revision date so users can determine which version applies.

Last updated: 18 September 2026

Document owner: Edvento

This procedure explains how users can contact Edvento about information connected with their accounts, Student profiles or use of Edvento.

Users do not need to use legal terminology when asking a privacy-related question or making a request.

Privacy-related requests may be sent to:

[email protected]

Where specialist handling is required, Edvento may direct the request internally to the appropriate responsible person or function.

1. What you can ask about

Users may contact Edvento about matters such as:

- information connected with their account;

- incorrect profile information;

- account deletion;

- Student-profile deletion;

- account freezing;

- unauthorized access;

- privacy concerns; or

- questions about how information is handled.

The action available depends on the account type and the Edvento functionality involved.

2. Adult Learner and Teacher accounts

Adult users aged 18 or older control their own independent accounts.

Adult users may change or delete information through the profile controls available to them.

Adult users may also choose to freeze or permanently delete their profiles.

When a profile is frozen:

- the account cannot be used normally;

- past and current activity is hidden; and

- the associated information is retained so the user may return later.

When a profile is permanently deleted:

- the profile is deleted;

- data relating to the user and the user's activity is removed from Edvento's database; and

- the profile cannot be recovered through the normal Edvento recovery process.

3. Student profiles

Student profiles are handled differently from independent Adult Learner accounts.

For Edvento's account model, a Student is a person under 18.

Student profiles are created and managed through the Teacher or school workflow.

A Teacher may delete Student profiles that the Teacher is authorized to manage.

A Teacher cannot delete an independent Adult Learner account.

4. Correcting information

Adult users may update or change profile information through the available profile controls where that functionality is provided.

Teachers managing Student profiles should correct Student-profile information where they identify an error and are authorized to manage that profile.

Users may also contact Edvento through:

[email protected]

if they have a concern about information that cannot be corrected through the available account controls.

5. Making a request

A request should include enough information for Edvento to identify the relevant account, profile, activity or concern.

Users should not send:

- passwords;

- secret authentication information;

- unnecessary identity documents;

- unnecessary Student records; or

- other information that is not needed to understand the request.

A short explanation of the issue is usually sufficient to begin review.

6. Requests about Student information

Teachers should make requests only for Student profiles and information that fall within their authorized educational role.

Student profiles are restricted and are intended to be visible only to the relevant Teacher and authorized school administrators where applicable.

Unrelated Teachers and ordinary users should not be able to access Student profiles.

Requests should not be used to obtain information about unrelated Students.

7. Account deletion and class membership

Removing a person from a class is different from deleting an independent account.

A Teacher may manage membership in the Teacher's own class.

A Teacher cannot permanently delete an independent Adult Learner account.

Student-profile deletion follows the Student-profile management rules described in Edvento's Account Deletion Policy.

8. Deleted activities

When a Teacher deletes an activity, it is moved to the Edvento recycle bin.

The activity remains there for 30 days unless the Teacher permanently deletes it earlier.

During this period, the activity may be restored.

After 30 days, an activity remaining in the recycle bin is automatically deleted.

The 30-day period applies specifically to deleted activities and is not a universal period for all Edvento information.

9. Reporting unauthorized access or privacy concerns

Users may report suspected unauthorized access, compromised credentials, mistaken disclosure or other privacy concerns through:

[email protected]

The report should contain only the information reasonably necessary to identify and explain the problem.

Users should not unnecessarily copy or distribute private information while reporting a concern.

10. Request review

If a user believes that a privacy-related request or account action has not been handled correctly, the user may ask Edvento to review the matter through:

[email protected]

The request should identify the relevant account or issue and briefly explain the concern.

11. Related documents

This procedure should be read together with the relevant Edvento documents, including:

- Privacy Notice;

- Children and Student Privacy Notice;

- Student Friendly Privacy Notice;

- Account Deletion Policy;

- Data Retention Policy; and

- Student Data Protection Policy.

12. Changes to this procedure

Edvento may update this procedure when its account-management, privacy or information-handling functionality changes.

The current version should identify its revision date so users can determine which version applies.

04 - Commercial and Programme Terms

These documents explain the terms that apply to Edvento’s paid services, cancellations and refunds, professional certification, and Ambassador Programme participation.

They describe the conditions, rights, responsibilities, benefits, limitations, and programme rules that apply when a user purchases or uses a Premium service, participates in an Edvento programme, or receives programme-related benefits.

Where applicable, these terms should be read together with Edvento’s general Terms of Use, Privacy Policy, and other relevant policies.

Subscription and Premium Terms

EDVENTO

Document: Subscription and Premium Terms

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

These terms apply only where Edvento offers a paid subscription, Premium service or other paid feature and a customer chooses to purchase that service.

Where no paid service is offered or purchased, these terms do not create a payment obligation.

1. Paid services

Edvento may offer paid plans or Premium features in addition to free functionality.

Any paid service should be clearly identified before purchase.

The customer should be able to see the relevant plan information before confirming payment.

2. Purchase information

Before a customer purchases a paid Edvento service, the purchase information should clearly describe the applicable:

- plan or service;

- included features;

- usage limits;

- price;

- billing period; and

- duration.

Only the information presented for the actual paid service forms part of that purchase.

Free registration does not itself create a payment obligation.

3. Who may purchase

Paid Edvento services are intended to be purchased by:

- an adult user; or

- an authorized representative of an educational institution.

Student participation in Edvento does not by itself create a payment obligation.

4. Account and plan access

Access to paid functionality applies only to the users, features and limits included in the relevant plan.

Users must not sell, transfer or share account credentials in order to give unauthorized people access to paid functionality.

Edvento may restrict paid functionality where the applicable plan does not include the requested feature.

5. Changes to paid functionality

Edvento may develop or change the features available through its services.

Changes to future paid services should be communicated through the relevant plan or purchase information.

A paid service should not be represented as including functionality that is not actually available under the applicable plan.

6. Billing and account restrictions

Billing-related restrictions and security-related restrictions are separate matters.

A billing problem should not automatically be treated as suspicious or abusive account behaviour.

Similarly, an account restriction imposed for security or misuse reasons is not the same as a billing restriction.

7. Cancellation and refunds

Where Edvento offers paid services, cancellation and refund handling is governed by the applicable Cancellation and Refund Policy.

The rules that apply to a particular purchase should be made available to the customer before or during the purchasing process.

8. Student information

A paid plan does not change the protections that apply to Student profiles.

Purchasing Premium or institutional functionality does not give a user unrestricted access to Student profiles or Student information.

Student access and visibility continue to follow Edvento's Student protection, privacy and class-management rules.

9. Privacy requests

Access to privacy-related requests does not depend on whether an account is free or paid.

Users may contact Edvento about privacy, account information or related concerns through:

[email protected]

10. Related documents

These terms should be read together with the relevant Edvento documents, including:

- Terms of Use;

- Privacy Notice;

- Cancellation and Refund Policy;

- Account Deletion Policy;

- School and Institution Agreement; and

- Data Processing Agreement where applicable.

11. Changes to these terms

Edvento may update these terms when its paid services, Premium functionality or purchasing model changes.

The current version should identify its revision date so users can determine which version applies.

Cancellation and Refund Policy

Document: Cancellation and Refund Policy

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This policy explains the general approach to cancellation and refund requests where Edvento offers a paid subscription, Premium service or other paid feature.

Where no paid service has been purchased, this policy does not create a payment or refund relationship.

1. Cancellation

Customers who purchase a paid Edvento service may request cancellation in accordance with the conditions presented for that service.

The applicable purchasing information should explain how cancellation affects:

- future billing;

- access to paid functionality; and

- the end of the purchased service period.

Cancellation of a paid service and deletion of an Edvento account are separate actions.

2. Refund requests

Where a customer wishes to ask about a refund, the customer may contact Edvento through:

[email protected]

The request should include enough information to identify the relevant purchase and account.

Customers should not send complete payment-card details, passwords or other unnecessary confidential information when making a request.

3. Review of a refund request

Edvento may review the circumstances of the relevant purchase before responding to a refund request.

Relevant circumstances may include:

- the service that was purchased;

- whether the service was delivered;

- the reason for the request; and

- the terms presented with the applicable purchase.

A refund request does not automatically guarantee a refund.

4. Mandatory rights

Nothing in this policy is intended to remove consumer rights or remedies that cannot lawfully be excluded.

Where applicable law gives a customer mandatory rights relating to cancellation, withdrawal, non-delivery or defective services, those rights remain unaffected by this policy.

5. No universal refund period

Edvento does not state one universal refund or cancellation period for all users and jurisdictions in this policy.

Where a specific cancellation, refund or withdrawal period applies to a paid service, it should be stated in the relevant purchase information or other applicable terms.

6. Service problems

If a customer believes that a paid Edvento service has not been delivered as described, the customer may contact:

[email protected]

The customer should identify the relevant service and briefly explain the issue.

Edvento may review the circumstances and respond according to the applicable purchase terms and requirements.

7. Account deletion and cancellation

Deleting an Edvento account and cancelling a paid service are not automatically the same action.

Users should not assume that deleting an account alone cancels a separate payment arrangement unless the applicable purchasing process states that it does.

Similarly, cancelling a paid service does not automatically require deletion of the user's Edvento account.

8. Student information

A billing or refund dispute does not change the privacy and protection rules that apply to Student information.

Student profiles and Student information remain subject to Edvento's Student protection, privacy, account deletion and data retention policies.

9. Requesting review

If a customer believes that a cancellation or refund request has not been handled correctly, the customer may ask Edvento to review the matter through:

[email protected]

The request should identify the relevant purchase or decision and briefly explain the concern.

10. Related documents

This policy should be read together with the relevant Edvento documents, including:

- Subscription and Premium Terms;

- Terms of Use;

- Account Deletion Policy;

- Privacy Notice; and

- School and Institution Agreement where applicable.

11. Changes to this policy

Edvento may update this policy if its paid services, subscription model, cancellation process or refund arrangements change.

The current version should identify its revision date so users can determine which version applies.

Edvento Certification Programme Terms

Document: Edvento Certification Programme Terms

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

These terms apply to Edvento certification programmes where such programmes are offered.

An Edvento certificate records achievement within the relevant Edvento programme.

An Edvento certification must not be described as accreditation by a government, school, examination board, professional regulator or other external organization unless such recognition has been formally established.

Questions about the Edvento Certification Programme may be sent to:

[email protected]

1. Programme information

Each Edvento certification programme should provide candidates with information about the programme before they participate.

This may include information about:

- the subject or skills being assessed;

- the assessment format;

- applicable programme rules;

- certificate conditions; and

- any requirements that apply to participation.

Candidates should follow the rules published for the specific certification programme they are taking.

2. Candidate responsibility

Candidates must complete certification assessments honestly.

Candidates must not:

- impersonate another person;

- allow another person to take an assessment for them;

- share account credentials;

- use unauthorized assistance;

- obtain or distribute unauthorized answers;

- collaborate where collaboration is not permitted;

- sell or trade assessment answers;

- attempt to manipulate results; or

- interfere with certification systems or records.

Candidates are responsible for protecting their account credentials.

3. Assessment content

Certification questions, assessment materials, Edvento certification designs and programme materials remain subject to applicable intellectual-property rights.

Candidates must not reproduce, distribute, sell or publish restricted certification questions or assessment materials without authorization.

Participation in an assessment does not transfer ownership of Edvento certification materials to the candidate.

4. Results

Certification results relate only to the specific Edvento assessment completed by the candidate.

A certification result should not be represented as proof of qualifications, professional status or external accreditation beyond what the Edvento certificate itself states.

Candidates should use certification results and certificates accurately and should not make misleading claims about the meaning of the award.

5. Certificates

Where a candidate successfully completes the applicable certification requirements, Edvento may issue a certificate or related programme recognition.

The certificate represents the Edvento achievement stated on the certificate.

Candidates must not alter a certificate in a misleading way or use it to claim qualifications that the programme does not provide.

6. Certificate verification

Edvento may provide functionality that allows the authenticity of an Edvento certificate to be checked.

Verification information should relate to the certificate and programme for which it was issued.

Users must not manipulate verification records or use another person's certificate as their own.

7. Certification badges

Edvento may provide certification-related badges or other programme recognition.

Candidates may use an approved Edvento certification badge only in a way that accurately represents their certification status.

Certification status does not authorize a candidate to:

- enter contracts on behalf of Edvento;

- represent themselves as an Edvento employee;

- certify other people on behalf of Edvento;

- alter Edvento branding in a misleading way; or

- imply external accreditation that has not been established.

8. Misconduct

Edvento may review suspected certification misconduct.

Examples may include:

- impersonation;

- unauthorized collaboration;

- answer sharing;

- manipulation of scores or records;

- fraudulent certificate use; or

- deliberate violation of certification assessment rules.

Depending on the circumstances, Edvento may restrict certification participation, withhold a result, suspend programme access or take action concerning a certificate where serious misconduct is established.

A report of misconduct does not automatically prove that misconduct occurred.

9. Reporting a problem

Candidates may report a technical problem, certification concern or suspected misuse through:

[email protected]

The request should include enough information to identify the relevant certification activity or account without including unnecessary confidential information.

10. Intellectual property and representation

Edvento retains its rights in:

- certification assessments;

- certification programme materials;

- certificate designs;

- badges;

- logos; and

- related Edvento branding.

Candidates may describe their Edvento certification accurately.

Candidates must not use Edvento certification or branding in a way that falsely suggests authority to represent Edvento or provide Edvento certification to other people.

11. Paid certification

If a certification programme requires payment, the applicable purchasing information should be provided before payment.

Any paid certification service is also subject to the relevant:

- Subscription and Premium Terms; and

- Cancellation and Refund Policy.

Participation in an Edvento certification programme does not itself create a payment obligation unless the applicable programme is presented as a paid service.

12. Privacy and account information

Certification-related information is handled according to the relevant Edvento privacy and account policies.

Candidates should not submit unnecessary personal or confidential information through certification activities or support requests.

Privacy-related questions may be sent to:

[email protected]

13. Changes to certification programmes

Edvento may update its certification programmes as programme requirements, assessments or functionality develop.

The rules applicable to a particular certification should be communicated through the relevant programme information.

The current version of these terms should identify its revision date so candidates can determine which version applies.

14. Related documents

These terms should be read together with the relevant Edvento documents, including:

- Terms of Use;

- Privacy Notice;

- Acceptable Use Policy;

- Copyright and Intellectual Property Policy;

- Subscription and Premium Terms; and

- Cancellation and Refund Policy.

9. Privacy and account security

Ambassadors must protect:

- their Edvento credentials;

- private user information;

- Student information;

- class access information; and

- other restricted Edvento information they may encounter through an authorized role.

Ambassador status does not override Edvento's Privacy Notice, Student Data Protection Policy or other access restrictions.

10. Communication

Ambassadors should use appropriate and professional communication when acting in connection with the programme.

Ambassador status must not be used to:

- harass users;

- obtain unauthorized contact information;

- contact Students inappropriately;

- gain unauthorized access to classes; or

- bypass ordinary Edvento permissions.

11. Former Ambassadors

Edvento maintains records of past Ambassadors as part of its programme history.

Edvento may display an Ex-Ambassador badge on a former Ambassador's profile in recognition of previous contribution to Edvento.

Former Ambassador recognition is separate from active Ambassador programme access and responsibilities.

12. Reporting a concern

Concerns relating to Ambassador activity, programme participation or misuse may be reported through:

[email protected]

The report should include only the information reasonably necessary to identify and explain the concern.

13. Related documents

- Edvento Certification Programme Terms where applicable.

14. Changes to the Ambassador Programme

Edvento may update the Ambassador Programme and these terms as the programme develops.

Current programme information and responsibilities should be communicated through the Edvento Ambassadorship page and relevant programme communications.

The current version of these terms should identify its revision date so participants can determine which version applies.

05 - Internal Compliance Documents

These documents describe Edvento’s internal procedures for protecting user information, managing security and privacy matters, controlling access, reviewing external service providers, and responding to operational or legal requests.

They provide a framework for how Edvento handles matters such as data breaches, security incidents, personal-data requests, Student safeguarding, internal access, confidentiality, data retention, privacy assessment, and official authority requests.

These policies support Edvento’s commitment to responsible data handling, user protection, and consistent internal decision-making. They should be read together with Edvento’s public Privacy Policy, Terms of Use, and other applicable policies.

Some procedures describe internal operational controls and therefore may be updated as Edvento’s services, technical infrastructure, regulatory obligations, and organizational structure develop.

Data Breach Response Procedure

Document: Data Breach Response Procedure

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This procedure applies to suspected loss, alteration, destruction, unauthorized access to, or unauthorized disclosure of personal data processed through Edvento services.

1. Receive and preserve

Anyone discovering or reasonably suspecting a personal-data breach must report it immediately through [email protected].

A case record should be opened as soon as practicable and should record the discovery time, source, affected system and initial known facts.

A report must not be delayed while waiting for proof that information has been misused.

Relevant logs, records and other necessary evidence must be preserved with appropriate access restrictions and timestamps. Raw Student information must not be circulated through general communication channels or shared with people who do not require access for the investigation.

2. Contain and establish awareness

The technical team should take reasonable steps to isolate affected access, revoke compromised credentials or tokens where applicable, and preserve necessary evidence before carrying out destructive remediation.

The investigation should record when Edvento obtained sufficient information to become aware that a personal-data breach had occurred, distinguishing that point from the time of initial suspicion.

The assessment should identify, where known:

  • affected systems;
  • affected Institutions or user groups;
  • affected roles;
  • affected countries;
  • affected categories of personal data; and
  • approximate numbers of affected records or people.

Information that remains unknown should be recorded together with the next investigation step.

3. Assess consequences

The investigation should consider the possible consequences of the incident, including:

  • identity or account exposure;
  • compromised credentials;
  • disclosure of education-related information;
  • risks affecting Students or other minors;
  • harm arising from unauthorized disclosure;
  • loss of availability or access; and
  • whether technical or organizational protections materially reduced the risk.

The existence of encryption or another security control must not automatically be treated as sufficient reason to conclude that notification is unnecessary. The practical accessibility of the affected information should also be considered.

Edvento should determine its role in relation to each affected dataset and whether another Institution or organization also has notification or response responsibilities.

A single security incident may require different response or notification actions for different affected data or organizations.

4. Decide and notify

Where Edvento processes personal data on behalf of another controller, the affected controller should be informed without undue delay when notification is required.

Available information should be provided promptly, with further updates where additional facts become available.

For incidents subject to applicable Turkish personal-data requirements, the relevant legal notification obligations and deadlines must be assessed based on the circumstances of the breach.

For incidents subject to EU GDPR requirements, the controller should assess whether notification to the competent supervisory authority is required and whether affected individuals must also be informed.

Where another country's law applies, its notification requirements must be assessed separately.

Investigation should continue after an initial notification where necessary. Notification should not be postponed solely because every fact is not yet known.

5. Notice contents and communication

Where a notification is required, it should contain available and verified information appropriate to the circumstances, including:

  • a clear description of the incident;
  • affected categories of people and data;
  • approximate affected numbers, where known;
  • likely consequences;
  • measures already taken or planned;
  • practical protective actions available to affected people; and
  • an appropriate Edvento contact route.

Communications should avoid unsupported speculation, minimizing language or attributing responsibility to a Teacher, Student or other person without sufficient evidence.

The final version of each notification should be recorded together with its recipients, time and communication channel.

This procedure does not authorize public disclosure of private personal information.

6. Recovery and closeout

Affected functionality should be restored only after reasonable checks confirm that the immediate cause of the incident has been contained and access permissions are operating as intended.

Where deletion-related records are relevant to the affected system, they should be checked before normal access is restored.

The incident record should document:

  • the identified or likely root cause;
  • consequences;
  • containment measures;
  • notification decisions;
  • corrective actions;
  • responsible action owners; and
  • completion status.

Relevant controls and procedures should be reviewed after the incident, and corrective measures should be tested where appropriate.

7. Case record

The breach record should include, where applicable:

  • case identifier;
  • person or source that discovered the incident;
  • discovery time;
  • awareness time;
  • affected systems;
  • affected organizations or controller contacts;
  • affected people and data categories;
  • risk assessment;
  • evidence preserved;
  • containment measures;
  • applicable notification deadlines;
  • notification decision;
  • notifications sent;
  • recovery checks;
  • corrective actions; and
  • closure date.

Access to breach records and supporting evidence must be limited to people who require access for investigation, response, legal obligations or security purposes.

Security Incident Response Procedure

Document: Security Incident Response Procedure

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This internal operational procedure applies to account compromise, malware, suspicious access, outages, code tampering, abuse and other security incidents affecting Edvento systems or services.

Where a suspected security incident may also involve personal-data compromise, the Data Breach Response Procedure must be followed in parallel.

1. Detect and classify

Security alerts and user reports must be recorded and assigned an incident identifier.

The initial assessment should consider possible impacts on:

  • confidentiality;
  • integrity;
  • availability; and
  • safeguarding.

Serious incidents may include active unauthorized access to Student information, compromised privileged credentials or widespread destructive activity.

Less severe incidents must still be reviewed, assigned for investigation and documented appropriately.

The initial classification may be revised as additional evidence becomes available.

2. Establish coordination

Relevant technical, privacy and communication responsibilities should be assigned as appropriate to the incident.

Because Edvento operates with a small team, one person may perform more than one incident-response role where necessary.

Where feasible, consequential decisions should receive an additional review before implementation.

If ordinary account systems or communication channels may themselves be compromised, the team should avoid relying on those systems for sensitive incident coordination.

Important actions, findings and decisions should be recorded chronologically.

3. Contain without unnecessary damage

Reasonable containment actions may include:

  • revoking suspicious sessions;
  • restricting application or system access;
  • disabling affected functionality;
  • isolating affected services;
  • resetting or rotating compromised credentials; and
  • limiting access to affected records.

Where appropriate, relevant logs and the minimum necessary evidence should be preserved before destructive remediation, rebuilding or deletion.

Incident responders must not retaliate against a suspected attacker or test suspected vulnerabilities against unrelated systems.

Emergency technical changes should be documented together with their purpose and, where relevant, a rollback approach.

4. Investigate and eradicate

The investigation should attempt to determine:

  • the likely entry point;
  • affected systems and functionality;
  • privileges obtained;
  • affected dependencies;
  • persistence mechanisms;
  • possible exposure across classes or user boundaries;
  • affected exports or downloaded information; and
  • possible credential reuse.

Exposed credentials, keys or tokens should be replaced through appropriate technical processes.

Secret values must not be copied into general tickets, reports or communication channels.

The technical cause should be corrected, and related or neighboring attack paths should be reviewed where relevant.

Where an external service or provider may be involved, its role in the incident should also be assessed.

Uncertainty should remain documented until sufficient evidence supports a conclusion.

5. Restore carefully

Affected systems or functionality should be restored from a source reasonably believed to be trustworthy and intact.

Before reopening affected services, relevant checks should confirm that essential controls and workflows operate as intended.

Where applicable, checks should include:

  • authentication;
  • authorization;
  • Student visibility restrictions;
  • affected background processes;
  • essential learning workflows; and
  • relevant deletion instructions.

Normal access should resume only after reasonable verification that the immediate security issue has been contained.

Post-restoration monitoring should continue where appropriate to detect recurrence or residual compromise.

6. Communications and learning

Communications concerning an incident must be factual and based on confirmed information.

Personal-data breach notifications must follow the Data Breach Response Procedure.

Safeguarding matters must follow the applicable safeguarding procedure.

At incident closure, the team should record, where known:

  • impact;
  • root cause;
  • containment actions;
  • corrective actions;
  • responsible action owners;
  • completion status; and
  • verification of relevant fixes.

This procedure should be reviewed after material security incidents so that lessons learned can be incorporated into future response activity.

7. Required records

Security incident records should include, where applicable:

  • incident identifier;
  • severity or impact classification;
  • affected services;
  • incident timeline;
  • evidence references;
  • containment and remediation actions;
  • credentials or tokens rotated, without recording their secret values;
  • related privacy or safeguarding actions;
  • restoration checks;
  • residual risks; and
  • closure decision.

Access to incident records and supporting evidence must be limited to people who require access for investigation, security response, legal obligations or related operational purposes.

Data Subject Request Internal Procedure

Document: Data Subject Request Internal Procedure

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This procedure applies when a user contacts Edvento concerning personal information associated with an Edvento account or profile.

Requests may be submitted through [email protected].

1. Receive and record

A request concerning personal information should be recorded together with the available information necessary to understand and process it.

The original request should be preserved while it is being handled.

Users must not be asked to provide their account password.

2. Identify the relevant profile

Edvento distinguishes between:

  • Teacher accounts;
  • Learner accounts for users aged 18 or over; and
  • Student profiles for users under 18 that are created and managed by an authorized teacher.

The handling of a request depends on the relevant profile type and the information involved.

3. Adult accounts

Users aged 18 or over may manage their own Edvento accounts.

Adult users can freeze their profiles or permanently delete them through the functionality provided by Edvento.

When an adult profile is frozen, its previous and current activity is hidden and the account cannot be actively used, while its data is retained so that the user can return later.

When an adult user chooses permanent deletion, Edvento removes the data associated with that user and their activity from the active database. A permanently deleted profile cannot be recovered.

4. Student profiles

Student profiles are used for learners under 18 and are managed differently from independent Learner accounts.

A Student profile is created and managed by the responsible teacher or authorized school administrator.

The responsible teacher can delete Student profiles created under their authority.

Student profiles are not intended to operate as independent adult accounts.

When a Student reaches the age of 18, the Student profile is deleted. If the individual wishes to continue using Edvento, they may create a new independent Learner account.

5. Correction and account-related requests

Where a user asks Edvento to correct, delete or otherwise address personal information associated with their profile, the request should be reviewed according to the relevant account type and the available system controls.

Where the request cannot be completed directly through the user's account, the user may contact Edvento through [email protected].

Only information necessary to understand and process the request should be used.

6. Completion

When a request has been processed, Edvento should record the action taken and confirm completion to the requester where appropriate.

Temporary working information created solely for handling the request should not be retained longer than necessary for that purpose.

Student Safeguarding Escalation Procedure

Document: Student Safeguarding Escalation Procedure

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This procedure applies to serious concerns involving a Student using Edvento, including suspected inappropriate contact, exploitation, threats, bullying or other harmful behaviour connected with use of the platform.

Safeguarding concerns may be reported to Edvento through [email protected].

1. Student protection within Edvento

Student profiles are designed for users under 18 and operate with restricted functionality.

Student profiles are managed by their responsible teachers or authorized school administrators.

Edvento Student profiles do not include direct messaging or discussion functionality.

Students cannot use the teacher email-request functionality.

Student profiles are not publicly discoverable and are not visible to unrelated users.

Access to Student profiles is restricted to the responsible teacher and authorized school administrators.

2. Receive a concern

A safeguarding-related report received by Edvento should be treated as a serious matter and reviewed according to the information provided.

Only information reasonably necessary to understand the concern should be handled.

Student information should not be circulated unnecessarily or disclosed to unrelated users.

3. Restrict access where appropriate

Where a reported account or activity presents a suspected risk to users, Edvento may restrict or ban access while the matter is reviewed.

Edvento may take account of reports submitted by other users concerning suspicious actions or behaviour.

Restrictions should be applied only to the extent considered necessary to protect users and the platform.

4. Protect Student information

Information relating to Student profiles must remain subject to Edvento's restricted-access model.

Student identities, profile information, results or other records must not be made visible to unrelated Teachers, Learners, visitors or other Students.

Safeguarding concerns must not be used as a reason to make Student information publicly available.

5. Related security or privacy concerns

Where a safeguarding concern also involves suspected account compromise, unauthorized access or exposure of personal information, the relevant Edvento security or data-breach procedure should also be followed.

Information should be shared only where necessary for handling the relevant issue.

6. External requests

Where Edvento receives an official request from a competent authority concerning a restricted or banned account, Edvento may provide relevant information when required by an appropriate official request.

Only information relevant to the request should be considered for disclosure.

Internal Access Control Policy

Document: Internal Access Control Policy

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This policy describes the internal access boundaries currently applied to Edvento user information and administrative functionality.

1. Role-based access

Access to Edvento information and functionality depends on the user's role.

Teachers may access the Students and Learners connected to their authorized classes.

Student profiles are visible only to their responsible Teachers and authorized school administrators.

Unrelated Teachers cannot discover or access Student profiles.

Learner profiles are also hidden from unrelated users. A Teacher may access a Learner's relevant information when that Learner has joined the Teacher's class.

A Teacher who owns a publicly available activity cannot identify a Learner from the activity report solely because the Learner used that activity outside the Teacher's class.

2. Student profile restrictions

Student profiles are used for users under 18 and operate under restricted access.

Students cannot independently join classes by scanning a QR code or entering a class code.

Classes are assigned to Student profiles by an authorized school administrator or valid homeroom Teacher.

Student profiles do not include general communication functionality and are isolated from unrelated users.

3. Learner accounts

Learners aged 18 or over use independent Learner accounts.

Teachers do not control or delete independent Learner accounts.

Learners become visible to a Teacher only within the context of an authorized class relationship.

4. Role restrictions

Ambassador status does not provide authority to manage Student profile types.

Role-based functionality must not be interpreted as permission to access unrelated Student or Learner information.

5. Administrative access

Administrative access must be used only for functions associated with the administrator's authorized responsibilities.

Administrative access must not be used to expose Student or Learner information to unrelated users or to bypass the platform's role-based visibility restrictions.

6. Access limitations

Private Student and Learner information must not be made publicly discoverable through profiles, activity reports, class participation, or unrelated user access.

Access to personal information should remain limited to the role and educational relationship for which the information is required.

Employee and Contractor Confidentiality Policy

Document: Employee and Contractor Confidentiality Policy

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This internal policy applies to individuals who are given authorized access to confidential Edvento information or personal information in connection with work performed for Edvento.

1. Protected information

Protected information includes non-public information such as:

  • Student and Learner records;
  • Teacher and account information;
  • credentials and authentication information;
  • security information;
  • source code and technical information;
  • internal business information;
  • confidential partner information; and
  • other non-public information obtained through authorized Edvento access.

Personal information must remain protected even where it does not qualify as confidential business information.

Information that has lawfully become public is not treated as confidential solely because it was previously held by Edvento.

2. Permitted use

Confidential information may be accessed and used only where necessary for an authorized Edvento purpose.

Individuals with access must not:

  • access information out of curiosity;
  • use information for personal purposes;
  • disclose confidential information to unauthorized people;
  • copy personal information unnecessarily;
  • use Student information for personal contact;
  • expose credentials or security information; or
  • make private information publicly available.

Access should remain limited to the information necessary for the individual's authorized responsibilities.

3. Student and Learner information

Student information is subject to particularly restricted access.

Student profiles are visible only to their responsible Teachers and authorized school administrators within Edvento's access model.

Unrelated users must not be given access to Student information.

Learner profiles are also hidden from unrelated users and should only become visible within an authorized relationship, such as participation in a Teacher's class.

Confidentiality obligations apply to Student and Learner information regardless of whether the information is viewed directly in Edvento or obtained during legitimate support, technical or administrative work.

4. Security incidents

Anyone who becomes aware of unauthorized access, accidental disclosure, loss of information or another security concern involving Edvento information should report the matter promptly.

Security incidents should be handled under the applicable Edvento security or data-breach procedure.

An individual must not intentionally conceal an incident or alter relevant evidence to hide what occurred.

5. External disclosure

Confidential information must not be disclosed to external organizations or individuals without an authorized purpose.

Where Edvento receives an appropriate official request from a competent authority, relevant information may be considered for disclosure in accordance with the applicable request and Edvento procedures.

Only information relevant to the authorized purpose should be disclosed.

This policy does not prevent lawful reporting to an appropriate authority where such reporting is legally protected or required.

6. Work product and intellectual property

This policy does not transfer ownership of Teacher-created or Student-created content to Edvento merely because that content is processed through the platform.

Edvento team members must respect the ownership and permitted use of software, educational materials, branding and other intellectual property used in connection with Edvento.

Third-party materials must not be represented as Edvento-owned content unless Edvento has the appropriate rights to use them.

7. Role changes and departure

When an individual's authorized Edvento responsibilities end or materially change, confidential information obtained through that role must no longer be used for the former purpose.

Access to non-public information must not continue merely because the individual previously held a role that required access.

Copies of confidential information must not be retained for personal use after authorized access ends.

Confidentiality obligations continue for as long as the information remains non-public and protected.

Backup and Recovery Policy

Document: Backup and Recovery Policy

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This policy describes the recovery functionality currently available within Edvento.

Edvento does not maintain a general recovery backup for permanently deleted user profiles.

1. Deleted activities

When a Teacher deletes an activity, the activity is moved to the recycle bin.

Deleted activities remain in the recycle bin for 30 days.

During this period, the Teacher may restore the activity.

A Teacher may also permanently delete an activity before the end of the 30-day period.

If the activity is not restored, it is automatically permanently deleted after 30 days.

2. Activity restoration

When an activity is restored from the recycle bin, the activity is returned together with the related Student activity statistics associated with it.

The 30-day period therefore functions as a temporary recovery period for deleted activities.

3. Frozen profiles

Users aged 18 or over may choose to freeze their profiles instead of deleting them.

When a profile is frozen:

  • the profile cannot be actively used;
  • its previous and current activity is hidden from normal use; and
  • its data is retained so that the user can return later.

A frozen profile is therefore different from a permanently deleted profile.

4. Permanently deleted profiles

When an adult user chooses to permanently delete their profile, Edvento deletes the data associated with that user and their activity from the database.

A permanently deleted profile cannot be recovered.

Edvento does not maintain a backup option for permanently deleted profiles.

5. Recovery limitations

Edvento must not describe permanently deleted profiles as recoverable.

The recovery functionality described in this policy is limited to:

  • activities retained temporarily in the 30-day recycle bin; and
  • data intentionally retained for frozen adult profiles.

Recovery of other permanently deleted information is not offered under the current Edvento system.

Subprocessor and Vendor Review Procedure

Document: Subprocessor and Vendor Review Procedure

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This procedure applies before Edvento adds or materially changes an external service that may receive, process, store or otherwise interact with Edvento information.

Relevant technical details concerning Edvento's external services are maintained in the Edvento Technical Whitepaper.

1. Identify the service

Before using an external service, Edvento should identify:

  • the service being used;
  • its purpose within Edvento;
  • the categories of information involved;
  • the types of users affected;
  • how information reaches the service; and
  • whether the service is necessary for the intended functionality.

External services may include hosting, authentication, email, analytics, payments, content delivery, monitoring, artificial intelligence or other technical providers.

2. Minimize information sharing

Edvento should use external services only for a defined purpose.

The amount of information shared with a provider should be limited to what is necessary for that purpose.

Particular care must be taken before any external service is allowed to process Student information.

A service should not be given access to Student or other personal information merely because integration with that service is technically convenient.

3. Review provider use

Before a provider is used for personal information, Edvento should review how the provider will use the information supplied through the relevant integration.

The review should consider, where relevant:

  • storage;
  • access;
  • security;
  • deletion;
  • onward service providers;
  • incident handling;
  • processing locations; and
  • whether information may be used for unrelated commercial, advertising or training purposes.

Information about a provider should be based on the actual service and configuration used by Edvento.

4. Technical configuration

External services should be configured so that they receive only the information necessary for the Edvento functionality being provided.

Unnecessary data collection, permissions or integrations should be avoided.

Technical information about active providers and integrations should be reflected in the Edvento Technical Whitepaper.

5. Artificial intelligence services

Edvento uses artificial intelligence for activity and question creation.

Edvento's AI functionality is intended to use learning objectives for generating educational questions.

Student information is not used for AI evaluation of Student work and should not be supplied to AI services for that purpose.

Teachers retain control over AI-generated educational content and may review or revise generated questions before using them.

6. Changes to providers

A material change to an external provider or integration should be reviewed before being relied upon for Edvento services.

Relevant changes may include:

  • a new service;
  • a change in the information shared;
  • a new purpose;
  • a significant change in processing location;
  • additional integration permissions; or
  • a change that materially affects how user information is handled.

Verified technical changes should be reflected in the Technical Whitepaper and, where relevant, applicable Edvento policies.

7. Ending a provider relationship

When Edvento stops using an external service, unnecessary credentials, permissions and integrations should be removed.

Technical integrations that are no longer required should not remain active merely because they were previously used.

Related documentation should be updated to avoid describing an inactive provider or integration as part of the current Edvento system.

Internal Data Retention Schedule

Document: Internal Data Retention Schedule

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This document records the retention and deletion rules currently confirmed for Edvento data and platform records.

1. Dynamic Activity participation data

Participation data generated during Dynamic Activities is temporary.

When a Teacher starts a new live game, participation data from the previous live game is deleted.

If the Teacher does not start a new live game, the participation data is deleted automatically within 24 hours.

Dynamic Activity QR codes and access codes are included within this temporary data. They therefore also expire and are deleted within the same period.

After the data is deleted, Students cannot use the old QR code or access code to re-enter the same game.

2. Deleted Teacher activities

When a Teacher deletes an activity, the activity is moved to the recycle bin.

The activity remains in the recycle bin for 30 days.

During this period, the Teacher may restore the activity.

The Teacher may also permanently delete the activity before the end of the 30-day period.

If the activity is not restored, it is automatically permanently deleted after 30 days.

3. Statistics associated with deleted activities

While an activity remains in the recycle bin, its associated Student activity statistics remain connected to it.

If the Teacher restores the activity during the 30-day recovery period, the related Student activity statistics are restored together with the activity.

4. Permanently deleted adult profiles

Users aged 18 or over may permanently delete their Edvento profiles.

When an adult profile is permanently deleted, Edvento deletes the data associated with that user and their activity from the database.

A permanently deleted profile cannot be recovered.

Edvento does not maintain a backup option for permanently deleted profiles.

5. Frozen adult profiles

Adult users may choose to freeze their profiles instead of deleting them permanently.

When a profile is frozen, the user cannot actively use the profile.

The user's previous and current activity is hidden while the profile remains frozen.

The associated data is retained so that the user can return to Edvento later.

A frozen profile is therefore different from a permanently deleted profile.

6. Inactive profiles

Edvento does not automatically delete profiles simply because they have been inactive for a period of time.

An inactive profile therefore remains in the system unless the applicable account-deletion process is used.

7. Student profiles

Student profiles are intended for users under 18.

When a Student reaches the age of 18, the Student profile is deleted.

If the individual wishes to continue using Edvento after reaching 18, they may create a new independent Learner account.

The previous Student profile does not automatically become a Learner account.

8. Ambassador history

Edvento retains a record of previous Ambassador status after an Ambassador's active service ends.

Former Ambassador recognition may remain associated with the user's profile as acknowledgment of their contribution to Edvento.

9. Current retention scope

This schedule includes only retention and deletion rules that are currently confirmed.

Edvento does not apply unapproved retention periods to categories where no confirmed retention rule has been established.

Records of Processing Activities

Document: Records of Processing Activities

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This document records the principal personal-data processing activities currently confirmed for Edvento services.

Edvento aims to minimize the amount of personal information collected and to use information only where it supports platform functionality.

Technical information concerning systems, providers and integrations is maintained separately in the Edvento Technical Whitepaper.

1. Teacher accounts

Edvento provides Teacher accounts for adult users who use the platform to create educational activities, manage classes, assign resources and work with Students and Learners.

Teacher account information is used to:

  • provide access to Teacher functionality;
  • manage classes and activities;
  • maintain the Teacher's account and profile;
  • support activity creation and assignment;
  • provide notifications; and
  • maintain the Teacher's relationship with Students and Learners in authorized classes.

Teachers may also add optional information to their profiles where the platform provides those fields.

2. Adult Learner accounts

Learner accounts are intended for users aged 18 or over.

Learner account information is used to:

  • provide access to learning activities;
  • allow Learners to participate in authorized classes;
  • record relevant activity and achievement information;
  • provide XP, levels and badges where applicable;
  • provide notifications; and
  • maintain the Learner's account.

Learner profiles are not openly discoverable by unrelated users.

A Teacher can access relevant Learner information when the Learner participates in the Teacher's class.

3. Student profiles

Student profiles are intended for users under 18.

Student profiles are created and managed by authorized Teachers or school administrators rather than by the Student independently.

Student profiles operate with restricted functionality.

They are used to:

  • allow Students to participate in assigned classes and activities;
  • record relevant educational activity;
  • provide Teachers with class-related information;
  • support assessment where applicable; and
  • maintain the Student's relationship with authorized Teachers and school administrators.

Student profiles are not publicly discoverable.

Access is restricted to the responsible Teacher and authorized school administrators.

Students cannot independently join classes by scanning a QR code or entering a class code.

4. Class participation

Edvento processes class-related information so that Teachers can organize and manage educational groups.

Depending on the account type, this may include:

  • class membership;
  • assigned activities;
  • learning participation;
  • activity completion;
  • results; and
  • other information required for class functionality.

Learners may request to join a class, subject to Teacher approval.

Student profiles are assigned to classes through authorized school or Teacher controls.

5. Dynamic Activities

Dynamic Activities are live activities in which Teachers and participants are online at the same time.

Participants may join certain Dynamic Activities without creating an account.

Participation information for Dynamic Activities is temporary.

Starting a new live game removes the previous participation data.

Where no new game is started, the participation data is deleted automatically within 24 hours.

Associated QR codes and access codes are included in this temporary data.

6. Individual Activities

Individual Activities are used by registered users.

They may be assigned as classwork or homework.

Individual Activities can contribute to a Learner's Edvento experience system.

Relevant processing may include:

  • activity participation;
  • completion information;
  • XP;
  • activity-type history; and
  • badges.

Individual Activity results are not automatically entered into the class gradebook.

7. Assessment Activities

Assessment Activities are designed for diagnostic or summative assessment.

Assessment results are recorded in the relevant gradebook.

Assessment information may therefore include:

  • responses;
  • automatically calculated results;
  • completion information; and
  • related assessment records.

Most Edvento activities use automatic scoring.

The Projects activity uses manual Teacher scoring.

8. Experience points, levels and badges

Edvento uses experience points and achievement features to support Learner engagement and performance tracking.

Individual Activities may award experience points.

Edvento also records which activity types a Learner has used so that relevant badges can be awarded.

Dynamic Activities do not generate permanent achievement records.

Assessment Activities contribute to the gradebook rather than the Learner XP system.

9. Project uploads

The Projects activity allows users to upload materials associated with project work.

Uploaded project material is used so that Teachers can review and evaluate the project.

Teachers can delete submitted project materials after evaluation.

Permitted file types are restricted by the platform.

10. Notifications

Edvento provides notifications to users.

Users can manage which available notifications they wish to receive.

Student profiles do not provide Teacher-to-Student email-sharing functionality.

Teachers may use the platform's email-request functionality with other Teachers where available.

Edvento does not provide a general internal direct-messaging inbox between users.

11. Calendar synchronization

Teachers may add timetable information to their calendar service for a two-week period.

The information transferred for this purpose consists of:

  • weekdays;
  • teaching-period times; and
  • class titles.

Teachers may repeat the synchronization process when another period is required.

12. Artificial intelligence

Edvento uses artificial intelligence to assist Teachers in creating educational questions and activities.

Teachers may provide learning objectives to the AI activity-creation functionality.

The generated questions can then be reviewed and edited by the Teacher before use.

Edvento does not use AI to evaluate Student work.

Student information is not supplied to AI services for question generation.

13. Optional profile information

Adult users may provide additional profile information where the platform offers optional fields.

Optional information can be changed or removed by the user where the relevant profile functionality permits it.

Student profiles use a more restricted data model and are not intended to contain unnecessary personal information or profile photographs.

14. Support and user requests

Users may contact Edvento through:

[email protected]

Information contained in a request is used to understand, review and respond to the matter raised.

Users should not send passwords, secret credentials or unnecessary Student information through support communications.

15. Security and platform protection

Edvento may process limited technical and account information where necessary to protect the platform, investigate suspicious activity or enforce account restrictions.

Edvento may restrict or ban profiles where suspicious actions or behaviour are reported and reviewed.

Related security matters are handled under the applicable Edvento security and incident-response procedures.

16. Technical providers and integrations

Information concerning hosting, authentication, technical providers, cookies, integrations, external services and related technical data flows is maintained in the Edvento Technical Whitepaper.

This processing record should be updated when a material platform feature, account model, data flow or technical integration changes.

Privacy Impact Assessment Template

Document: Privacy Impact Assessment Template

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This template is used to review new or materially changed Edvento features that involve personal information, Student functionality, monitoring, profiling, external services or other processing that may affect user privacy.

It is intended to help the Edvento team identify privacy risks before a feature is introduced or materially changed.

1. Describe the feature

For each assessment, describe:

  • the feature or change;
  • its intended purpose;
  • the users affected;
  • whether Students under 18 are involved;
  • what personal information is involved;
  • whether the information is required or optional;
  • how the information enters Edvento;
  • where it is used;
  • whether it is shared with another service;
  • how long it is needed; and
  • how it is deleted or otherwise removed from active use.

The description should distinguish current functionality from proposed future functionality.

2. Minimize personal information

Before introducing or changing a feature, consider whether the same purpose can be achieved with less personal information.

The review should consider whether Edvento can:

  • avoid collecting the information entirely;
  • use a less identifying value;
  • process information locally on the user's device;
  • remove unnecessary profile fields;
  • make information optional;
  • shorten the period for which information is kept; or
  • limit who can see the information.

Edvento's approach is to minimize personal-data collection where possible while preserving necessary system functionality.

3. Student-specific review

Features involving Student profiles require particular attention because Student profiles are intended for users under 18.

The review should confirm that the feature does not unnecessarily weaken the existing Student restrictions.

Student profiles are designed so that:

  • unrelated users cannot discover them;
  • access is limited to responsible Teachers and authorized school administrators;
  • Students cannot independently join classes using only a QR code or access code;
  • Student profiles do not include general direct-messaging functionality; and
  • unnecessary personal information or profile photographs are not required.

Any proposed feature that changes these protections should receive specific review before implementation.

4. Class and access risk

Class codes, QR codes and invitations should not by themselves provide unrestricted access to class information.

For Learner class joining, a request must be approved by the Teacher before class membership is established.

For Student profiles, class assignment is controlled by authorized Teachers or school administrators.

When reviewing a new class-related feature, consider whether it could:

  • expose Student information before approval;
  • allow an unrelated person to join a class;
  • reveal activity or assessment information;
  • bypass existing role restrictions; or
  • make a private profile discoverable.

5. Public visibility risk

A privacy review should consider whether a new feature could make private information visible outside its intended audience.

Particular attention should be given to:

  • Student identities;
  • Learner identities;
  • assessment results;
  • activity statistics;
  • uploaded materials;
  • badges or achievements;
  • public activity reports; and
  • profile information.

Student profiles must remain inaccessible to unrelated users.

Learners using a public activity outside a Teacher's class must not become identifiable to the activity owner solely because they completed that activity.

6. Artificial intelligence

Where a feature uses artificial intelligence, the review should identify what information is sent to the AI service and for what purpose.

Edvento currently uses AI for generating educational questions from learning objectives.

Student information is not used for AI evaluation of Student work.

The Teacher retains control over generated questions and can review and revise them before use.

Any future AI feature involving Student information or automated evaluation should receive a separate privacy assessment before implementation.

7. Monitoring features

Edvento Assessment functionality may use local head-orientation monitoring.

This functionality:

  • is optional for the Teacher to activate;
  • may be refused by the Student;
  • operates locally on the user's device; and
  • does not send head-tracking data to an external server for processing.

A privacy assessment of any new monitoring feature should consider:

  • whether the feature is necessary;
  • whether participation is optional;
  • whether information remains on the device;
  • whether information is transmitted;
  • whether the feature could produce incorrect indications; and
  • what happens if the user declines the monitoring feature.

8. External services

Where a new feature involves an external provider, Edvento should assess what information the provider receives.

The review should consider:

  • the purpose of the integration;
  • categories of information transferred;
  • whether Student information is involved;
  • whether less information can be shared;
  • storage and deletion;
  • provider access;
  • processing locations; and
  • whether information may be used for unrelated commercial, advertising or training purposes.

Relevant technical information should be reflected in the Edvento Technical Whitepaper.

9. Deletion and recovery

The assessment should identify how information associated with the feature can be deleted.

Edvento's confirmed deletion model currently includes:

  • a 30-day recycle-bin period for deleted Teacher activities;
  • permanent deletion after the recovery period unless restored;
  • permanent adult-profile deletion without recovery;
  • retention of frozen adult profiles so that the user can return; and
  • deletion of Student profiles when the Student reaches 18.

A new feature should not silently recreate information that has already been permanently deleted.

10. Temporary data

Where information is needed only temporarily, the assessment should consider whether it can be automatically deleted.

Dynamic Activity participation data is an example of temporary processing within Edvento.

Dynamic Activity participation information, including associated QR codes and access codes, is deleted when a new live game is started or automatically within 24 hours.

Similar temporary processing should use limited retention where practical.

11. Risk assessment

For each identified privacy risk, describe:

  • what could happen;
  • which users could be affected;
  • the possible privacy consequence;
  • what existing control reduces the risk;
  • what additional change is needed, if any; and
  • whether the feature should proceed in its current form.

Examples of risks that may require review include:

  • unauthorized Student access;
  • unnecessary personal-data collection;
  • unintended public disclosure;
  • inappropriate external-service access;
  • monitoring features;
  • restoration of deleted information;
  • excessive profile visibility;
  • use of Student information with AI; and
  • changes to role permissions.

12. Final review

Before a materially changed feature is released, the Edvento team should confirm that:

  • the intended purpose is clear;
  • unnecessary information has been removed;
  • Student restrictions remain effective where applicable;
  • visibility and access are appropriate;
  • deletion behavior is understood;
  • external integrations have been reviewed;
  • relevant technical documentation has been updated; and
  • material privacy risks identified during the review have been addressed or clearly documented.

The assessment should be revisited when the feature materially changes, when a significant privacy or security issue is identified, or when its actual use differs substantially from its intended design.

Government and Law Enforcement Request Procedure

Document: Government and Law Enforcement Request Procedure

Version: 0.1

Status: Active

Last updated: 18 September 2026

Document owner: Edvento

This internal procedure applies when Edvento receives an official request from a government authority, law-enforcement authority or other competent public authority seeking information associated with Edvento services or users.

Edvento does not disclose user information merely because a communication claims to come from an official authority.

1. Receive the request

An official request should be reviewed before any information is disclosed.

The available request details should be recorded, including where applicable:

  • the requesting authority;
  • the information requested;
  • the user or account concerned;
  • the stated purpose;
  • the date of the request; and
  • any stated response deadline.

The original request should be preserved while it is being reviewed.

2. Confirm the request

Before disclosing information, Edvento should confirm that the request is an official request from an appropriate authority.

Information should not be disclosed solely on the basis of an informal message, unsupported claim of authority or request from an unrelated individual.

3. Determine relevant information

Edvento should identify what information relevant to the request is actually held within its systems.

Only information relevant to the official request should be considered for disclosure.

Edvento should not provide unrelated user, class, Student or Learner information merely because other information is requested from the same system.

4. Suspicious and banned accounts

Edvento may restrict or ban a user profile where suspicious actions or behaviour are reported.

Where a banned profile is associated with reported suspicious or potentially criminal activity, Edvento may provide relevant information to an appropriate legal authority when an official request is received.

A banned account does not automatically make all information associated with the user available for unrestricted disclosure.

5. Student and Learner information

Requests involving Student or Learner information must be handled with particular care.

Student information must not be disclosed to unrelated individuals or organizations outside an appropriate official request.

Where information is disclosed, the scope should remain limited to information relevant to the request.

6. Security and preservation

Information associated with an official request should not be unnecessarily copied, circulated or exposed to people who are not involved in handling the request.
